Responsibilities
Serve as receptionist for department and assist staff and general public; greet and screen telephone calls. Provide routine information and refer non-routine inquiries to appropriate staff or other Borough sources
Sort and distribute incoming and outgoing mail
Order/maintain office supplies and forms for the department
Type correspondence, reports, form letters, permits, purchase orders, check requests, and petty cash forms. Maintain various databases
Maintain filing systems
Complete copying duties
Prepare and file timesheets
Fill in as switchboard operator as necessary
Qualification
Required
High school diploma or equivalent
Two years of progressively responsible office experience, with knowledge of general office practices and procedures required
Up to one year of clerical training may be substituted for experience on a one-for-one basis
Demonstrated ability to operate a personal computer and type with speed and accuracy
MS Word, Excel required, and Access preferred
Demonstrated ability to deal with the public and staff in a tactful, courteous, and efficient manner
Ability to function well under stressful situations
Ability to understand and execute oral and written instructions
Ability to perform work in an accurate, orderly, timely, and professional manner
Ability to maintain confidentiality of information
This position requires a criminal background check
A proficiency test will be administered
