Benefits & People Operations Administrator

The United States Olympic & Paralympic Committee is seeking a Benefits & People Operations Administrator to enhance the team member experience through effective benefits administration. The role involves managing day-to-day benefits processes, coordinating open enrollment, and ensuring compliance with benefits laws while providing exceptional support to team members.

Responsibilities

Provide excellent customer service to team members regarding their benefits. Work with broker and plan vendors to troubleshoot and resolve benefit matters
Maintain and continuously enhance the Benefits SharePoint site by providing accurate, engaging, and user-friendly information to help team members understand and fully utilize the benefits available to them
Coordinate and execute all facets of the annual open enrollment process creating a positive team member experience: assisting in overall planning strategy, HRIS buildout and testing, creating and presenting information to team members, preparing open enrollment materials and guides (including update of Benefits SharePoint site), drafting communications, coordinating session logistics, completing various audits, ensuring data is transmitted to vendors, and all related end of year benefits tasks
Coordinate new hire benefits onboarding to ensure an exceptional team member experience including presenting clear and comprehensive benefits information, providing personalized support as team members make their selections, with questions, tracking their elections, and completing all benefits information in the HRIS
Develop clear, engaging communications on benefits and compliance, and maintain a regular cadence of educational updates that help team members understand and make the most of the benefits available to them
Support benefits events including planning, logistics, and execution
Administer day-to-day benefits processes including enrollments, changes, offboarding, life events, COBRA, HAS’s, tuition reimbursement and vendor reporting
Maintain accurate and confidential employee benefits data in the HRIS, build and update benefit plans, deductions, life event configurations, etc
Monitor and verify that benefit data accurately transmits to vendors, troubleshooting and quickly resolving file errors or discrepancies as they arise
Perform pre-payroll benefits audits each pay period, meeting established deadlines to ensure accurate deductions and paycheck adjustments; partner with Payroll team to resolve any discrepancies
Administer leaves of absence including assisting team members navigate the process, tracking leaves, and coordinating with Payroll to ensure accurate pay
Create and maintain team member benefits files in the HRIS system ensuring proper document retention in compliance with federal and state regulations and USOPC policies
Process and reconcile and validate all benefits invoices ensuring timely payment to vendors and resolving billing discrepancies
Track and audit compliance with benefit laws and support year-end processes such compliance reporting and completing all year-end benefits tasks
Attend regular broker and vendor meetings to fully understand plans and participate in annual planning
Perform accurate HRIS team member data entry. Review and finalize workflow changes and coordinate data uploads with the People Systems and Payroll teams. Ensure data integrity in the system via regular audits of plans and deductions
Perform bi-weekly pre-payroll audits to ensure the accuracy of data entry. Create and maintain standard operating procedures for data entry and benefits processes
Run HRIS reports for a variety of needs as requested
Ensure employment law poster compliance including maintenance of current required postings in all USOPC locations and online
Proactively recommend ways to optimize HRIS processes with automation
Provide other project support and related duties as assigned

Required

Bachelor's degree in HR-related field or equivalent work experience
2+ years of experience in human resources with specific experience in benefits administration and payroll
Experience working with HRIS systems; experience with UKG preferred
Experience using Excel on a regular basis
Strong understanding of benefits processes and plans, including medical, dental, vision, wellness, and other supplemental products such as life, disability insurance and retirement plans
Knowledge of federal and state laws as they relate to health and welfare plans, voluntary plans and leave programs
Excellent customer service and communication skills
Strong problem solving and critical thinking skills
Ability to maintain a high level of confidentiality with discretion
Detail-oriented with ability to avoid and detect errors in fast-paced, high-volume work environment
Ability to collaborate with internal and external partners
Ability to manage multiple projects and priorities to meet established deadlines

Preferred
