Responsibilities

Create a welcoming and organized environment by acting as the primary receptionist and gatekeeper for the group area, proactively greeting guests, answering questions, and organizing refreshments for meetings
Enhance team efficiency by scheduling meetings, managing shared calendars, maintaining up-to-date departmental employee records, coordinating timely routing of cards and special recognitions, distributing product copies and mail, and communicating industry and company news and information to the teams
Manage and maintain departmental product libraries and conference room displays, ensuring resources are current, accessible, and ready for staff and visitors
Support team’s product development, author relationships, and promotional efforts by placing and tracking internal product orders, answering follow-up inquiries, and ensuring timely delivery for both internal and external recipients
Facilitate team productivity by purchasing hospitality, shipping, and office supplies, as well as books and Bibles for product research
Ensure publishing teams are equipped with accurate and accessible tools and resources by producing reports, organizing product and sales data, and assisting with on-line industry research
Organize and execute mailings, special projects, and targeted outreach and promotional efforts
Support clear and accurate communication to both internal and external stakeholders by assisting with the preparation of reports and presentation materials, including PowerPoint, printing, comb-binding, and scanning projects
Monitor and maintain department spaces—hallways, conference rooms, break room, shipping supply areas, and marketing storage— so that they are tidy, functional, and ready for daily use, supporting a productive work environment
Strengthen collaboration with internal support teams by serving as the key liaison to Customer Service, Office Services, Information Services (I.S.), and the Facilities team, to ensure quick support and resolution of needs and requests

Preferred

A college degree is preferred, but not required— willingness and ability to learn is just as important
Some office or administrative experience is helpful, though we're open to a variety of experiences and work backgrounds
Experience in publishing is a plus, as is a familiarity with Spanish, but neither is essential
Confidence using Microsoft Outlook, Word, and Excel is important; must also be comfortable learning and adapting to a variety of new software and internal programs
Personal alignment with and adherence to the Bible as God's Word, and agreement with our Statement of Faith
