Associate Director, Workplace & Operations

TAPPS is a mission-driven biotech organization seeking an Associate Director, Workplace + Operations to build and run the operational backbone of the company. Responsibilities

Serve as the primary owner of office and facilities operations
Develop and maintain processes to ensure the workplace runs efficiently and supports scientific and business needs
Build strong relationships with building management, landlords, and external vendors
Lead space forecasting and planning; run the search, evaluation, and planning process for future office and lab expansion
Coordinate workplace safety, compliance considerations, and related documentation in partnership with scientific leadership
Own workplace vendor contracts and operational budgets related to facilities and office services
Act as the primary liaison to the external IT provider, ensuring high-quality service delivery and responsiveness
Own IT operations processes, including equipment lifecycle management, provisioning, and access management
Establish company-wide standards for onboarding, device configuration, account management, and security best practices
Partner with leadership and external providers to evolve systems and tools as the company scales
Lead comprehensive onboarding programs, owning both hands-on execution and longer-term process design
Partner with external recruiting and HR resources to support recruiting coordination, interview logistics, and a strong candidate experience
Provide high-quality, on-site support for employees and visitors, helping teams navigate the space, tools, and day-to-day needs
Own travel and expense (T&E) processes, policies, and systems, identifying opportunities to improve clarity and efficiency
Partner closely with company leadership on scheduling, meeting logistics, and operational workflows
Own Board meeting logistics, including scheduling, materials timelines, and day-of execution
Plan and execute company-wide events, offsites, and culture-building initiatives
Serve as a trusted operational thought partner to leadership, identifying bottlenecks, proposing solutions, and driving cross-functional alignment

Required

6–10+ years of experience across workplace operations, office/facilities management, business operations, or administrative leadership
Demonstrated ability to build operational systems and scalable processes from the ground up
Strong vendor management, negotiation, and project management skills
Exceptional communication skills and a service-oriented, solutions-focused mindset
Comfort operating in ambiguity and designing structure that evolves with company growth
High discretion, sound judgment, and ability to handle confidential information
