The Receptionist / Client Services role serves as the firm’s first point of contact for clients, visitors, and employees, providing administrative and office support while ensuring a high-quality client experience in a fast-paced legal environment.

Responsibilities

Welcome clients, visitors, and attorneys with warmth, professionalism, and discretion, serving as the firm’s first impression

Answer, screen, and route incoming calls while providing courteous, solution-oriented service

Respond to general inquiries and direct individuals to appropriate personnel promptly and professionally

Anticipate attorney and client needs and respond proactively to support business operations

Manage conference room scheduling and coordinate meeting logistics

Prepare, set, and reset conference rooms, including basic audiovisual support

Coordinate food and beverage service for client meetings and firm-sponsored events

Maintain reception, conference rooms, pantry, lounge, and other public areas to high hospitality standards

Deliver consistent, high-quality white-glove service to internal and external clients

Receive, sort, and process incoming and outgoing mail, including certified mail, courier services, and overnight deliveries

Assist with coordinating meetings and office events as needed

Support general office operations and administrative tasks as assigned by the Office Administrator

Maintain professionalism and confidentiality in all client and firm interactions

Required

Law firm experience is required; candidates without law firm experience will not be considered

Demonstrated experience in a receptionist, client services, or administrative role within a professional services environment
