Responsibilities

Provide administrative support in a team-oriented environment, with flexibility to support varying teams and provide coverage as needed
Assist with coordination of domestic and international travel and process a high volume of expense reports and invoices in a timely and compliant manner
Arrange internal and client meetings on-site and off-site, including conference room booking, catering coordination, guest registration, and material preparation
Support calendar management across multiple time zones, prioritizing meeting requests and coordinating phone, video, and in-person meetings
Assist with answering incoming phone calls, taking accurate and detailed messages while interacting professionally with senior leaders and clients
Perform general administrative duties including invoice submissions, time entry, copying, scanning, filing, mailing, archiving, and ad hoc projects
Handle highly confidential and sensitive information with discretion and professionalism
Act as an integral member of the shared support team, maintaining awareness of current priorities and support needs
Adhere to compliance requirements and obtain necessary approvals

Comfortable providing remote support to executives and teams across multiple locations
Exceptional attention to detail and organizational skills
Quick learner and self-starter with strong anticipation and follow-up skills
Proactive problem-solver with the ability to work independently
High degree of integrity, professionalism, and diplomacy
Proficiency in MS Word, Excel, PowerPoint, Outlook, and Zoom
Familiarity with expense platforms such as SAP Concur
Positive, team-oriented attitude
