Responsibilities

HCA/USF GME Consortium Proj Mgr is responsible for the administration & execution of the HCA/USF-MCOM affiliation agreement. The position will serve as the principal USF administrative contact with HCA & USF faculty and staff, providing oversight & coordination on the Agreement terms & academic resources. The PM II will provide various MCOM clinical departments. with accurate interpretation of agreement requirements, set timetables, facilitate and follow up on the delivery timeliness. Routinely review the affiliation agreement & act as the subject expert & gatekeeper of the agreement and data that demonstrates compliance with the agreement. Must maintain extensive knowledge of the university, college, & dept. policies & procedures along with national accreditation requirements to ensure affiliation deliverables adhere to university guidelines and accreditation requirements. Record & monitor accreditation metrics for faculty & program activity with regard to the HCA consortium. Track consortium programs' quality data. Position will often be the first point of contact for HCA and USF faculty, Program Directors, and staff
Serve as the Project Manager for Faculty Development within the Department of Medical Education, overseeing the planning, coordination, and implementation of faculty development programs and initiatives. Manage the development of internal systems, faculty development academies, and program materials to support educational offerings. Review and analyze research data and other relevant literature to inform program and project initiatives. Oversee the planning and delivery of workshops, seminars, and orientation programs for faculty and external audiences. Represent the department on campus and university committees, as well as at faculty and community functions. Provide subject‑matter support and professional development training as needed. Oversee the creation of communication and program materials, including flyers, websites, newsletters, reports, and internal resources to support faculty development programs and services
Serve as the primary administrative liaison to HCA hospitals, Faculty Affairs, and other MCOM clinical departments. Represent USF MCOM on various HCA and USF committees. Organize and coordinate HCA Executive Board meetings, including preparing agendas, assembling meeting materials, attending meetings, and recording minutes. Attend HCA GMEC meetings. Establish timelines, disseminate information to relevant parties, and communicate with committee members as needed. Communicate initiatives and outcomes, frequently corresponding with HCA and MCOM faculty, executives, program directors, and staff regarding a wide range of issues, such as policy changes, meetings, and general announcements. Collaborate closely with USF Health/MCOM departments—including Faculty Affairs, Health Library, Research, CAMLS, and DME—to facilitate academic resources for HCA residents and faculty. Additionally, manage daily calendaring and administrative coordination of meetings; create documents, track data, and prepare presentations for review; and provide comprehensive operational and administrative support
Develop and design presentations and educational programs for DME, GME, and Faculty Affairs to inform target audiences about HCA consortium agreements with USF and to support the execution and completion of related projects. Establish project timelines and manage resources to consistently meet or exceed project objectives. Create and maintain a matrix to ensure project completion. Develop accounting methodologies for tracking project time and associated costs and provide monthly reports. Research and analyze relevant data, develop actionable solutions, and communicate findings. Serve as a resource and provide input to the MCOM Dean, DIO, DME Chair, DME Director, and USF Health CFO on implementing or revising policies and procedures to achieve organizational goals
Perform additional responsibilities assigned by the DIO and the Vice Chair of Faculty Development for DME, including proctoring, conducting surveys, supporting research activities, compiling data, and performing analyses

Required

Bachelor's degree in a related field and 4 years of project management experience
Master's degree in a related field and 2 years of project management experience
Some positions may require project management certification
Four years of direct experience may substitute for a bachelor's degree

Preferred

Master's or Doctorate Degree in education or a field of study related to the academic program
6 years of related experience
Supervisory experience is favorable
Project Management certification is favorable
Experience in medical education administrative or accreditation functions, particularly in GME
Experience with project management, program planning, or retreat/meeting planning
Management of multiple schedules
Experience with MS project management tools
