Administrative Assistant II, Health & Public
Hill College is seeking an Administrative Assistant II for the Health and Public Services department. This role provides administrative and clerical support to the Dean, assisting with daily operations, scheduling, and coordination of instructional activities to ensure efficient operations aligned with institutional goals.

Responsibilities
Perform general administrative duties including coordinating department operations, scheduling appointments and meetings, answering phone calls, typing correspondence, filing, maintaining records, copying materials, ordering supplies, creating purchase orders, and distributing mail
Greet visitors, faculty, staff, and students; provide general information; and direct individuals as needed
Requisition funds, maintain records, and process bills for the Business & Industry pathway, serving as the initial liaison with the Business Office for purchasing needs
Assist in collaborative efforts and relationship building with internal and external partners to support institutional goals
Support the Dean in community engagement, civic initiatives and special projects
Support the scheduling and coordination of advisory committees, divisional meetings, and campus events
Maintain working knowledge of institutional policies, procedures, and instructional processes
Utilize the Hill College ERP system and standard office software (Word, Excel, Outlook)
Assist with programs and events hosted by Business & Industry Pathway, the college, and student groups as needed
Maintain inventory of departmental supplies and support budget tracking
Contribute to departmental objectives by providing reliable administrative support and proactively suggesting improvements to operational procedures
Participate in continuous improvement initiatives to enhance administrative efficiency and support institutional goals
Support the Dean in organizing data, reports, and communication needed for planning and decision-making
Coordinate with faculty, staff, and academic leadership to support a cohesive workflow across the division
Support team efforts by contributing to a positive workplace environment
Demonstrates a commitment to maintaining a welcoming and safe environment that provides a sense of belonging for all
Qualification
Required
High school diploma or equivalent
Two to five (2-5) years of clerical and administrative or customer service experience

Detail-oriented, self-motivated, and capable of setting priorities and meeting deadlines
Strong communication skills, both written and oral, with the ability to interact professionally at all levels
Commitment to confidentiality and adherence to Hill College's values and Code of Conduct
Proficient in Microsoft Office Suite (Teams, Word, Excel, Outlook) and standard office equipment
Excellent customer service, organization, and time-management skills
Demonstrated initiative for continuous learning and improvement
Commitment to fostering an inclusive and respectful workplace
Must have a valid Texas driver's license
Preferred
Associate degree or higher, or a combination of experience and education that yields the required knowledge, skills and abilities preferred
Experience in academic support, program development, or applicable instructional areas preferred
