Responsibilities

Proactively manage the Vice President’s calendar, prioritizing time and coordinating complex cross-geo meetings; collaborate closely with other executive assistants globally to align schedules and logistics
Serve as a primary point of contact between the executive and internal and external stakeholders, exercising professionalism, diplomacy, and sound judgment
Organize and coordinate logistics for in-person and virtual meetings, including senior leadership and Board-related sessions as necessary (e.g., invitations, materials, catering, room setup, and technology coordination)
Review and distribute communications on behalf of the executive, including correspondence with senior management and functional leaders
Handle highly confidential and sensitive information with the utmost discretion, including materials related to investigations, ethics matters, risk assessments, and Board reporting
Arrange domestic and international travel, including itineraries, accommodations, and end-to-end trip logistics; prepare and submit expense reports in accordance with company policy
Support special projects, leadership meetings, and select GRIA events, including planning, coordination, and follow-up actions
Provide administrative and operational support to the GRIA organization as requested, including coordination with global team members across multiple time zones
Coordinate the formal publication and controlled distribution of audit and investigation reports to defined internal stakeholders, ensuring accuracy of distribution lists, adherence to approved release protocols, and strict confidentiality of sensitive information
Assist with budget tracking, expense processing, inventory management, ordering, shipping, data entry, recordkeeping, and other administrative tasks as required
Deliver a high level of service, responsiveness, and problem-solving in a fast-paced executive environment

Required

High School Diploma or equivalent
3+ years of experience supporting director-level or senior executive leaders within a large, multinational organization
Demonstrated ability to manage confidential and sensitive information with discretion and professionalism
Strong written and verbal communication skills
Proficiency with Microsoft Office applications, including Outlook, Teams, Word, PowerPoint, and Excel
Flexibility to work occasional evenings and weekends, as required to support executive and Board-related activities
Must reside in the Raleigh–Durham area and be able to work a minimum of three days per week onsite at Lenovo's Morrisville campus
