Office Technician (T)-Associate Warden- ADA

The California Department of Corrections & Rehabilitation is seeking an Office Technician to provide clerical support for the Associate Warden (ADA) Department. The role involves managing correspondence, scheduling, maintaining tracking systems, and ensuring compliance with operational procedures.

Responsibilities

Prepare letters, memorandums, and correspondence for the Associate Warden (ADA), and other ADA staff
Maintain the calendar of the Associate Warden (ADA), and schedule appointments
Notify the Associate Warden (ADA) of any changes and/or additions to appointments he/she attends
Respond in a timely manner to inquiries in person and by phone or email regarding SLI scheduling
Maintain a tracking system for assignments, ensuring the Associate Warden (ADA) are alerted to any overdue assignments
Maintain an accurate filing system, prioritizing all work assignments
Collect and track monthly reports, such as adaptive support logs, wheelchair logs, incontinence logs and Captain DPH meeting memos
Complete ADA work orders as needed
Track and maintain a list of ADA accommodation properties
Ensure all DOM Supplements and Local Operating Procedures are updated
Maintain bulletin boards ensuring Declarations of Postings are completed and submitted in a timely manner
Order and maintain supplies for the ADA Department
Maintain an Appeals tracking system for incarcerated people to ensure due process is met
Prepare memorandums for duplication of lost/broken keys
Answer incoming calls, redirecting the caller to the appropriate staff
Open and distribute mail delivered to the ADA Department
Retrieve all mail from the ADA Department
Attend all training, and seminars as needed or required
Performs other related duties as designed

Individuals who are eligible for Training and Development assignments may also be considered for this position
Under the direction of the Correctional Administrator (ADA) this position is expected to exercise a high degree of initiative and independence in assuming responsibility for providing clerical support for the ADA Department
Prepare letters, memorandums, and correspondence for the Associate Warden (ADA), and other ADA staff
Maintain the calendar of the Associate Warden (ADA), and schedule appointments
Notify the Associate Warden (ADA) of any changes and/or additions to appointments he/she attends

The position(s) require(s) the ability to type at a minimum speed as designated on the Class Specifications
You must obtain a valid typing certificate confirming your ability to meet the minimum typing speed, prior to being hired
Possession of Minimum Qualifications will be verified prior to interview and/or appointment
If you are meeting Minimum Qualifications with education, you should include your unofficial transcripts/diploma for verification
Official transcripts may be required upon appointment
If it is determined an applicant does not meet the Minimum Qualifications, the candidate will be withheld from the eligibility list, rendering them inactive and ineligible to be hired for the position
Candidates who have been withheld may file an appeal with the State Personnel Board
Candidates new to CDCR/CCHCS are required to submit to a background investigation process utilizing Live Scan Fingerprinting, as well as a Tuberculosis test/evaluation prior to appointment, followed by department annual Tuberculosis testing/evaluation thereafter
CDCR/CCHCS utilizes E-Verify to confirm candidate's identity and employment authorization
