Administrative Assistant - 12 Month

Oak Park Elementary District 97 is a dynamic school district committed to equity and student success. The Administrative Assistant will provide comprehensive administrative support to ensure smooth operations and contribute to the district's equity initiatives.

Education Management

Responsibilities

Provide assistance to families, staff, and administrators by coordinating a wide variety of projects, functions, and/or program components
Maintain a wide variety of manual and electronic document files and records (e.g. , budget data, employee records, financial records, reports, etc.) for providing up-to-date information and/or historical reference in accordance with established administrative guidelines and legal requirements
Monitor various activities on behalf of assigned Administrator(s) (e.g., program components, meeting arrangements, account balances, work order status, etc.) for achieving goals and meeting target dates in compliance with established guidelines and regulatory requirements
Participate in various meetings, workshops, and/or trainings for providing or receiving information, recording minutes, and supporting the needs of the attendees
Prepare a wide variety of processes, documents, and reports, of confidential and non-confidential nature (e.g. student and staff reports, department meeting processes, contracts for vendors, correcting procedures manual, itinerant staff work schedules, updating employment application lists, usernames and passwords, etc.) for documenting activities, providing written reference, and conveying information
Present information on administrative procedures (e.g., department/program policies, submission procedures, etc.) for orienting new personnel and/or disseminating information to existing personnel
Procures supplies and materials for maintaining the availability of required items
Monitor a wide variety of activities on behalf of assigned administrator(s)
Enter, gather, and perform data analysis involving student information
Coordinate with school staff regarding state and federal grants, district initiatives, and programs
Answer phone calls and provide assistance to parents and school staff
Create written district communications
Assist with the creation and maintenance of various state and federal reports and grants
Other duties as assigned by administration

Required

High School Diploma or equivalent
Previous administrative experience
Proficient in Microsoft Word, Excel, and PowerPoint
Proficient in Google Suite (Docs, forms, and sheets)

Preferred

Previous experience with Illinois State Board of Education data collection systems and reporting
