Responsibilities

Offer administrative assistance to program personnel by collecting, structuring, and preserving precise data and documentation, facilitating daily office functions, and aiding with designated special projects
Review participant registrations to ensure all required information is complete and accurate; follow up with families as needed
Assist families with completing and submitting participant registration forms and related documentation
Respond to phone calls and email inquiries regarding programs and services in a professional and timely manner, addressing routine program questions while escalating non-standard or complex issues to the appropriate staff
Perform accurate data entry and maintain electronic and paper filing systems
Coordinate the ordering, tracking, and distribution of program supplies and materials
Draft, proofread, and format email correspondence, forms, and basic documents
Maintain confidentiality of participant, family, and program information
May carry out additional critical job responsibilities pertinent to the role and departmental allocation

Required

High School diploma or equivalent
two (2) years of related clerical/administrative work experience or equivalent combination of education and experience
strong organizational and problem-solving skills
proficient knowledge of basic Microsoft Suite software
excellent verbal and written communication skills
keen attention to detail
effective time management skills
capable of working independently

Preferred

Bachelor's degree in Office Management, Business Administration, or related field
