Administrative Assistant Sr

Responsibilities
Serve as the primary administrative resource supporting end -to-end HR and appointment processes for SRC ensuring timely, accurate and compliant processing of personnel actions across employee groups
Monitor and respond promptly to HR transaction requests related to regular and temporary staff appointments
Coordinate HR and recruiting processes from initial posting requests through appointment processing, including job postings and offer related documentation
Track and maintain the status of staff HR actions including postings, hires, promotions, transfers, effort changes, leaves, retirements, and terminations
Create and maintain SRC-level reports related to regular staff hiring, staffing levels, and appointment activity
Coordinate appointment processing, renewals, effort changes, transitions and funding updates in collaboration with the SRC program administrators
Maintain tracking tools and reports related to appointments, term limits and transitions
Serve as a point of contact to the SRC programs regarding timing, documentation requirements, and process workflows
Coordinate with ISR Human Resources to ensure appointments are accurately reflected in institutional systems and records
With guidance from the Business Administration Manager, draft and distribute clear communications to SRC programs related to administrative and HR processes
Develop and maintain tracking systems to monitor HR transactions across all appointment types
Coordinate hiring logistics and may serve on hiring committees as needed
Create, maintain and update standard operating procedures and administrative documentation
Maintain office supplies and spaces within the START Bay
Attend meetings, take notes, and draft correspondence as assigned
Assist SRC programs with administrative and/or event planning and support as needed
Maintain tuition support reports and process training and development support documentation for SRC
Serve as the primary point of contact for coordinating onboarding for administrative staff positions within SRC
Assist with special projects and other duties as assigned
Provide backup support for the Financial Specialist role in SRC START operations including but not limited to:
Providing accounting transactional support, such as processing travel and business hosting expense report payments, marketsite ordering, additional pays, and non-POs
Process travel and hosting arrangements as assigned
Creating and submitting Emburse expense reports and reimbursements for research faculty, fellows, and staff
Qualification
Required
High school diploma or equivalent
Four plus years of administrative and/or HR support experience (for Senior level). Two plus years of administrative and/or HR support experience (for Intermediate level)
Professionalism, strong work ethic, discretion, and reliability
Experience handling confidential and sensitive information with sound judgement
Demonstrated ability to initiate work independently and carry them through to completion, manage multiple priorities, meet deadlines and adapt to changing demands
Strong written and verbal communication skills with the ability to clearly convey thoughts, processes and guidance
Experience using software suites such as Microsoft Office, Visio, and Google Workspace
Preferred
Bachelor's Degree
Working knowledge of U-M academic policies and procedures
Prior experience providing HR support in a university environment to both staff and student employees, and trainees with fellowships
Prior experience with procurement, travel/hosting support, and expense report processing
Familiarity with U-M HR systems, project management/tracking tools, or reporting in a complex organizational environment
