Responsibilities
Coordinate all meetings for attorneys with a high level of responsiveness
Rapidly anticipate needs and adjust calendars accordingly on a daily basis
Structure schedules to protect personal time and support work-life integration
Provide technical support for virtual meetings
Act as a bridge between attorneys and other staff or departments
Communicate with clients, partners, and vendors on behalf of attorneys
Interact with firm clients via email and phone professionally and courteously
Research and book best-fitting hotels, flights, and on-site transportation
Provide logistical support during regular business hours
Anticipate needs and tailor travel schedules accordingly
Review documents for accuracy and completeness before attorney review
Edit, format, and finalize legal documents
Create, store, and apply electronic signatures
Calendar court appearances for attorneys with a high level of attention to detail
Review court websites for tentative rulings 1–2 days prior to hearings
Communicate rulings to attorneys and the docket group
Update calendars based on rulings or hearing changes
Provide as-needed front desk coverage, greeting clients and visitors, and handling calls
Package, label, and send correspondence and marketing collateral packets
Qualification
Required
Prior administrative experience in a legal environment required
Strong organizational skills with the ability to manage multiple deadlines
High level of professionalism and discretion in communications
Proficiency in Microsoft Office Suite and comfort with legal or business software tools
Excellent written and verbal communication skills
Ability to work independently and anticipate needs
Preferred
Bachelor's degree preferred
