SNF-Business Office Manager

Confidential company is a skilled nursing facility, and they are seeking a Business Office Manager to oversee daily operations. The role includes managing billing, accounts receivable, and ensuring compliance with regulations while providing excellent service to residents and families.

Responsibilities

Manage Medicaid, Medicare, Managed Care, and private pay billing processes
Monitor and collect accounts receivable to ensure timely payment
Prepare and submit accurate claims to insurance companies and government payers
Follow up on denied claims and work with payers to resolve issues
Generate monthly billing statements for residents and/or responsible parties
Maintain accurate records of resident trust accounts in accordance with state regulations
Ensure resident funds are appropriately managed, safeguarded, and disbursed
Reconcile trust accounts monthly and provide reports to residents/families as required
Collaborate with the admissions team to ensure accurate financial paperwork during the intake process
Verify insurance and payer sources
Educate residents and families about payment options, billing procedures, and financial obligations
Assist families with Medicaid applications or re-certifications when necessary
Coordinate with the payroll provider or corporate office to ensure accurate and timely payroll
Track employee hours, PTO, and benefits-related paperwork if applicable
Prepare monthly financial reports for corporate office or administrator
Maintain compliance with HIPAA and all applicable federal/state regulations regarding billing and resident information
Assist during audits (financial, Medicare/Medicaid, etc.) by preparing and providing documentation as needed
Supervise any business office or front desk staff (if applicable)
Train staff on billing procedures and customer service expectations
Work closely with the Administrator, Director of Nursing, and interdisciplinary team to support facility goals

Required

High school diploma or GED required
Minimum 2 years of experience in a business office setting, preferably in long-term care or healthcare
Strong knowledge of Medicare, Medicaid, and insurance billing
Proficiency in financial software (e.g., PointClickCare, MatrixCare, QuickBooks, or similar)
Excellent organizational and communication skills
Detail-oriented with a high level of accuracy in data entry and record-keeping
Ability to work under pressure and manage multiple priorities

Preferred

Associate or Bachelor's degree in Accounting, Business Administration, or related field preferred
Familiarity with long-term care regulations and reimbursement models
Experience with Medicaid Pending processes and collections
Bilingual (if applicable to the facility's population)
