They are currently recruiting an Administrative Support Specialist for the Office of Grants Management with Montgomery County, MD, responsible for providing administrative support and excellent customer service to internal and external stakeholders.

Responsibilities

Check internal stakeholder availability using MS Outlook and schedule virtual or in-person meetings, including booking rooms
Coordinate with external stakeholders through Outlook to schedule meetings
Check, tag, file, and respond to emails in multiple shared inboxes
Set up, schedule, and participate in MS Teams calls and MS Teams Live Events
Manage and update spreadsheets in MS Excel, including sorting, filtering, and basic data analysis
Edit formatting of cells and convert Excel tables into properly formatted PDF documents
Use MS Excel to MS Word mail merge to generate letters, grant agreements, and payment requests from templates
Draft, edit, and format documents and memorandums in MS Word following standardized templates and style guidelines
Convert Word documents into PDF documents with proper formatting
Integrate content into MS PowerPoint presentation templates
Access and submit tasks within SharePoint workflows, and check workflow status
Use Adobe Acrobat Pro to merge, split, rearrange, and edit PDF files; create fillable forms and add digital signatures
Conduct online research via browsers and official state/federal databases (e.g., IRS, Maryland State)
Navigate internal intranet systems to find online forms and resources
Provide excellent customer service by engaging professionally with internal and external stakeholders through email, phone, and in person
Track work items through multiple departments to ensure timely and accurate completion; follow up when needed
Take clear and thorough notes during meetings
Work in-office at least Monday through Thursday; schedule is 9:00 AM to 5:30 PM

Qualification

Required

High School diploma, required
Excellent organizational skills and attention to detail
Ability to work independently; must be self-motivated
Excellent verbal, written, and listening communication skills
Strong proficiency in MS Office Suite (Outlook, Teams, Excel, Word, PowerPoint, SharePoint) and Adobe Acrobat Pro
Ability to understand and adhere to the duties, methods, and procedures required by the position
Strong time management and prioritization skills

Preferred

Associate's degree, preferred
Two (2) years or more of administrative, clerical, or office support experience, preferred
Experience in government, nonprofit, or grants-related environments preferred
