Accounts Payable Bookkeeper

Responsibilities

Records vendor invoices in Quickbooks
Ensures management approval of vendor invoices
Generates invoices for payment when due
Takes all reasonable discounts on supplier invoices
Monitor office supply levels and requests reorder as necessary
Creates and maintains vendor files
Stamps and files invoices to be entered weekly
Stuffs and mails vendor checks as needed
Codes and enters overhead invoices
Codes and prepares excel spreadsheets for invoices as needed
Pulls and copies and/or files invoices from Show Folder P&L reports for billing as needed
Scans Invoices to cloud for review and/or for filing
Provides backup support for the accounting department as needed
Requests copies of invoices from vendors as required
Reconciles Credit Card statements
Assists with dead storage as needed
Creates new AP paid vendor folders as needed and maintain local file and cloud file storage
Tag and monitor fixed assets
Take all reasonable discounts on supplier invoices
Conduct periodic reconciliations of all accounts to ensure their accuracy
Record cash receipts
Provide information to the external accountant who creates the company’s financial
Statements
Assist the external accountant with assembling information for external auditors for the
Annual audit
Maintain an orderly accounting filing system
Comply with local, state, and federal government reporting requirements
Provide clerical and administrative support to management as requested
Pay any debt as it comes due for payment
Comply with local, state, and federal government reporting requirements

Required

Accounting experience 2 years + or a CCP Grad
Quickbooks / Quickbooks Cloud / Quickbooks Enterprise experience 2 years +
Associate's degree in accounting or business administration, or equivalent business experience
Nonprofit organization accounting experience
Performing Arts, music venue, restaurant, or bar accounting experience
Knowledge of Quickbooks Data Entry & Excel Spreadsheets and generally accepted accounting principles

Preferred

Preference will be given to candidates with a working knowledge of Quickbooks, Aloha, Excel, Word, Google Docs, Sheets, etc, and other accounting software packages
