Financial Assistant
JSB Partners is an Ultra-High-Net-Worth Family Office based in NYC, seeking a Financial Assistant to support their Finance Team. The role involves a variety of administrative and financial responsibilities, including meeting coordination, expense tracking, and document management.
Responsibilities
Perform general administrative responsibilities such as answering phones, maintaining calendars and contacts and scheduling conference calls
Coordinate and schedule meetings, including reserving conference rooms, greeting guests, coordinating catering and compiling meeting materials and agendas
Track and report expenses
Upload documents and files into the company’s document management system and review for accuracy
Coordinate travel, including flights, ground transportation, hotels, procuring visas, etc
Prepare and process payments, including wire transfers, ensuring accuracy, timeliness and preparation of proper supporting documentation
Organization, collation and maintenance of financial documentation including financials statements and tax filings
Conduct research as requested
Prepare written general correspondence
Independently follow up on outstanding items
Provide backup support and work productively with other Executive Assistants and Manager of Strategic Initiatives
Assist in ad hoc and special projects
Assist with general office duties such as tracking employee vacation days and coordinating with HR and IT
Qualification
Required
