Business Associate

HS Solutions, LLC is a SCN Top 50 Systems Integrator that provides low voltage electrical and communications solutions servicing the commercial and residential markets in the Washington, DC metropolitan area. They are seeking a Business Associate responsible for billing, receivables, contract administration, and human resources support, ensuring compliance and efficient project management.

Responsibilities

Understand and review project schedule of values (SOV), track approved change orders, and work with Project Managers and/or company partners to prepare and send client invoices in an accurate and timely manner
Maintain billing and receivables records, follow up with clients on overdue accounts, and document all communications and issues
Work with Operations department on all emergent billing and accounts receivables issues
Prepare and submit prequalification packages and documentation for various clients
Review and understand contracts to make sure all compliance requirements are identified and prepared for prior to onset of projects.(prevailing wage scale, certified payroll, vendor verifications, COIs, OCIP, CCIP, etc)
Prepare and submit weekly and/or monthly compliance reports to customers, government, and internal organizations
Act as primary contact for project compliance and invoicing, and work directly with customers on any compliance issues or updates
Maintain and update documentation required for customers, vendors and government organizations
Post job profiles on job and recruitment boards; review and filter candidate resumes; screen candidates on the phone; and schedule and participate in interviews
Maintain and organize resumes and other personnel files, and help process new-hires
Assist with weekly payroll by collecting and reviewing time records; identifying and resolving errors or missing time, and communicating inquiries or discrepancies to project field leads
Coordinate training and education for apprentices and other employees. Assist in preparing and hosting company functions
Perform other human resources tasks as necessary

Required

3-5 years of experience working as an office administrator or in accounting
3-5 years of experience in performing human resources responsibilities
At minimum, must have a bachelor's degree in business or a related field
This is an on-site, non-remote position in the Washington DC office
Must have high attention to detail
Highly proficient in MS Excel and Word
Must be able to obtain Washington DC Notary License
Must be able to successfully pass a background check
Must be able to commute to and from Washington D.C. office independently during normal business hours (8 AM to 4 PM or 9 AM to 5 PM)

Preferred

Construction or Low Voltage Experience highly preferred
Motivated individual with excellent interpersonal skills, verbal and written communication
Strong quantitative skills, comfortable with data analysis and spreadsheets
Ability to exercise sound judgment and find solutions in a fast-paced environment
Demonstrate resourcefulness in assessing and troubleshooting of issues and problems
Ability to work independently and with teams. The DC Office is a small office, so independent and reliable working capabilities is a must
