CounselLink Specialist

Morae is seeking an experienced CounselLink Specialist to support and administer their corporate legal eBilling and matter management platform. This role involves the day-to-day operation of CounselLink, ensuring accurate matter setup, invoice processing, compliance with Outside Counsel Guidelines, and effective coordination with internal legal and finance teams.

Responsibilities

Administer and support the CounselLink eBilling and matter management system
Create, review, and maintain legal matters, ensuring accuracy of financial coding, approval routing, and reporting structures
Manage user access, workflow configurations, and system settings
Maintain law firm and vendor data, including onboarding and ongoing updates
Perform invoice review to ensure compliance with Outside Counsel Guidelines and agreed fee arrangements
Address audit flags, billing discrepancies, rate issues, and non-compliance
Communicate with outside counsel in a professional and collaborative manner to resolve invoice issues
Monitor invoices for new timekeepers, rate changes, discounts, and alternative fee arrangements
Track and follow up on aged invoices and support related reporting
Generate standard and ad-hoc billing and matter reports for legal and finance stakeholders
Support month-end and year-end billing activities as needed
Respond to CounselLink system questions and ad-hoc legal billing inquiries
Assist with documentation of processes, SOPs, and system workflows
Support legal operations process improvement initiatives

Required

Proven experience administering CounselLink in a legal billing or legal operations role
Strong knowledge of legal billing workflows and Outside Counsel Guideline compliance
Experience partnering with legal, finance, and accounts payable teams
High attention to detail and strong organizational skills
Ability to manage multiple priorities in a high-volume environment
Strong written and verbal communication skills
Ability to work independently in a remote setting

Preferred

Experience with AP or procurement systems (e.g., Coupa)
Experience supporting legal operations reporting and analytics
Prior experience in a corporate legal department or large enterprise environment
