Marketing & Sponsor Fulfillment Manager (Part-Time)
EarthX is seeking a Marketing & Sponsor Fulfillment Manager who will act as the main liaison between Sales, Marketing, Programming, and external partners. The role focuses on ensuring that sponsors receive their promised deliverables on time and in alignment with brand expectations while managing communications and tracking fulfillment progress.

Responsibilities
Serve as the primary point of contact for sponsors and promotional partners post-sale
Manage sponsor communications related to deliverables, timelines, assets, and expectations
Ensure partners understand what they receive, when they receive it, and what is required from them
Own the sponsor fulfillment tracker (digital and physical deliverables)
Track all contracted benefits including:
Logo placements
On-site signage
Speaking/session inclusions
Marketing placements (email, social, web)
Media or promotional integrations
Coordinate internally to ensure assets are executed correctly and on schedule
Act as liaison between:
Sales (what was sold)
Marketing (what is executed)
Programming (what appears on agendas)
Production / Operations (what happens on-site)
Flag risks early and proactively solve gaps before they become sponsor issues
Collect sponsor assets (logos, brand guidelines, copy, URLs, talking points)
Ensure assets are correct, properly formatted, and delivered by deadlines
Maintain clean, organized asset libraries accessible to internal teams
Coordinate with promotional partners on:
Cross-promotional content
Email and social amplification
Shared timelines and messaging
Track promotional commitments and confirm execution
Provide weekly internal status updates on:
Fulfillment progress
Outstanding items
At-risk deliverables
Support post-event fulfillment recap and close-out
Qualification
Required
Experience in event marketing, sponsorship fulfillment, partnerships, or account management
Strong organizational and project-management skills
Excellent written communication and professional email etiquette
Comfortable managing multiple stakeholders and moving parts simultaneously
Detail-oriented, deadline-driven, and unflappable under pressure
Preferred
Familiarity with conferences, media platforms, or sponsorship-driven events a plus
