Responsibilities
Takes and Schedules Incoming Calls
Return all borrower and referral partner calls within 20–30 minutes
Confirm all scheduled appointments the day before
Provide borrowers with a clear explanation of what to bring to their appointment and directions to the office; ensure they write it down
Send confirmation emails to the agent, borrower, and team leader, including:
Appointment details
List of what to bring
Directions
Testimonial
Use format: “From team leader name” in the email subject line
Print credit report and prepare the appointment folder with client needs, wants, MIT/intake form, and all materials prior to the appointment
Manages the Lead Tracker
Enter all new leads into the tracker immediately
Maintain consistent and frequent follow-up (minimum 10 attempts) until an appointment is set
Update referral sources with every contact attempt or successful contact (critical for trust-building)
Bring two copies of the lead tracker to each team meeting
Maintain a 40%+ conversion rate from lead to booked appointment
Manages Leads Until Under Contract
Schedule client meetings for the Loan Officer
Collect documentation and assist with application completion
Manage client expectations throughout the pre-contract phase
Order appraisal and disclosures once applicable
Qualification
Required
Experience in an office or administrative environment
Strong communication and customer-service abilities
Highly organized and detail-oriented
Ability to manage multiple leads and follow-up sequences
Professional phone presence and email etiquette
Ability to work in a fast-paced, deadline-driven environment
Strong relationship-building skills with referral partners and clients
Preferred
Prior mortgage processing experience
Mortgage or lending license preferred (or willingness to obtain)
