Coordinator, International Operations
Best Buddies International is a nonprofit organization dedicated to creating opportunities for individuals with intellectual and developmental disabilities. The Coordinator of International Operations is responsible for providing administrative, operational, and event management support to ensure smooth departmental operations and effective communication within the team.
Responsibilities
Distribute new country welcome email with logo kits, manuals, and outlook accounts
Spearhead biannual report data collection, analysis, and delivery
Maintain updated website directory, country listing, internal country email contact list and social media outlets for the department
Assist with organization of the department webinar series registration and support facilitator during online trainings
Manage the monthly IP Newsletter – content creation and gathering, edit, and distribution
Work closely with BBI Accounting department on any budget management and billing process for department
Manage the department annual country -Accreditation process
Plan quarterly expenses and travel with Vice President, International Programs and Development
Perform general office duties, such as ordering supplies, handling incoming correspondence, preparing memos, letters, and press kits, filing, and organizing department inventory
Manage and submit the department’s weekly report
Assist with travel arrangements, agenda preparation, and reporting for IPD team members
Oversee event planning and logistics for all department events including the annual Best Buddies Leadership Conference, Staff Leadership Conference, Global Staff Forums, including but not limited to: securing accommodations, managing the participant registration process, coordinating travel visas, booking travel arrangements, preparing presentation materials, organizing on-site logistics and events, and serve as the point of contact for meeting venues, vendors, and event attendees
Create, distribute, and manage all communication for IPD team pre-event and post-event, including event feedback surveys
Serve as the International Programs liaison on all Best Buddies event conference calls administered by state operations and programs department
Manage event budget and tracking spreadsheets
General admin support for the IPD Team
Qualification
Required
Bachelor's degree and at least three years of administrative and operational experience
MUST SPEAK SPANISH AND NOT REQUIRE U.S. VISA SPONSORSHIP
Strong proficiency with Microsoft Office, Outlook, database management systems and general AI tools
Strong project management skills including planning, organizing, data analysis, prioritizing attention to detail, and problem solving
Strong written and verbal communication skills in English and Spanish
Must be an independent, self-starter and team player with sincere interest in the Best Buddies mission as well as maintaining a broad perspective relative to varying cultures and different nationalities
Must be willing to work evenings and weekends as necessary to accomplish job responsibilities
Must be comfortable engaging with people with intellectual and developmental disabilities
Available to participate in annual Best Buddies Leadership Conference, Staff Leadership Conference, regional Global Staff Forums, and some training events for on-site event coordination
