Clerical Specialist (part-time)

The Clerical Specialist is responsible for providing general clerical office support, answering inquiries, and maintaining records while ensuring effective communication with citizens and fellow employees.

Responsibilities

Answers incoming phone calls, directing caller to appropriate department or providing information
Greets building visitors, directing them to appropriate department or personnel, providing general city-wide information, and providing specific information about department policies/programs
Processes cash and non-cash payment transactions ensuring accuracy
Performs income tax and utility billing data input and posting
Accepts for and signs for deliveries
Prepares daily outgoing mail and sorts incoming mail to each department
Assists with the coordination of collection efforts for overdue payments related to income tax, utility billing, planning fees, engineering fees and other departmental charges
Communicates with individuals and businesses to resolve outstanding balances professionally
Performs other duties as assigned

Required

Possession of a high school diploma or GED equivalency
Regular and reliable attendance
Basic accounting
Finance
Microsoft Office applications (e.g., Outlook, Word, Excel, Publisher, Access, Sharepoint, OneNote, and Teams) and other computer software
City and Department goals and objectives
City and Department policies and procedures
Government structure and process
Standard office procedures
Application of customer service procedures and techniques
English usage, spelling, grammar, and punctuation
Standard office practices and procedures
Record keeping and filing practices

Operating a personal computer and multi-line phone system
