Project Coordinator

TechMDinc is a design and production firm specializing in Audio, Video, Lighting, and Control systems. As a Project Coordinator, you will manage project communication, asset tracking, equipment procurement, and budget support, ensuring successful project implementation and execution across the company.

Responsibilities

Work closely with teams, stakeholders, and clients to ensure project elements are delivered on time, within budget, and meet quality standards
Document and follow up on important actions and decisions from meetings
Coordinate with all team members to keep workflow on track
Monitor project progress and suggest adjustments as necessary
Data entry and follow-up
Manage project-related paperwork, ensuring all materials are current, complete, and properly stored
Generate weekly project status reports
Provide administrative support as needed
Create and organize equipment lists
Place orders with suppliers and track estimated delivery times and item locations
Assess changes to scope and collaborate with internal management and clients to issue change orders
Maintain professional and technical knowledge through workshops, publications, networking, and professional societies
Occasional travel for industry events, conferences, client facilities, and job sites
Perform other responsibilities as defined by the Director of Professional Services or Management Team

Required

2+ years in a Coordinator role (within the themed entertainment industry strongly preferred)
Excellent project management skills, including the ability to help develop and maintain plans, timelines, and budgets
Proven experience within complex technical design projects from conception to completion in a fast-paced environment
Proficient with MS Office – with expertise in Excel and creating and managing complex data
Experience with Google Workspace
Ability to diagnose project workflow problems quickly and have foresight into potential issues
Outstanding communication skills, both written and verbal
Ability to multitask and manage competing priorities
Detail-orientated with a strong focus on quality

Preferred

Previous experience in the themed entertainment industry or A/V for construction
Bachelor's degree in related field or equivalent experience
Proficient in production/project management software such as Wrike and Quickbase
Ability to work with proposal teams to develop cost estimates and project plans as needed
Basic understanding of audio, video, lighting and control system functionality
Ability to move occasionally about in the environment, including stooping or kneeling, to access AV equipment
Ability to lift equipment weighing up to 25 pounds to a height of 3-4 feet and load them into trucks
