Meals on Wheels Senior Data Specialist

Responsibilities
Compiles and maintains records detailing the current status of all consumers served by the Meals on Wheels Program and archives these records according to program rules and regulations
Creates reports for accounting, and all departments that use the Serv Tracker database, in addition to any other data or reporting as directed by the Program /Project Manager or Director(s) (see below)
Prepares monthly reporting and distributes by the 15th of each month
Prepares monthly unit report and distributes by the 10th, 15th of each month
Prepares monthly meal service status reports
Additional reporting as assigned
Tracks and provides ANS Senior Director with the client and service data needed to prepare applications for program funding and required status reports for all program funding sources as needed
Weekly report to the accounting department for MOW route sheets and distribute to accounting no later than EOD each Tuesday (as a backup)
Serves as the program liaison with the Accounting Department and as the coordinator for the monthly contribution reminders and unit mailings. Coordinates with the Accounting Department in the creation of customized Serv Tracker Reports
Provides information and clarifies services available for qualifying participants, which includes making appropriate recommendations for service availability
Maintain updated accuracy of ServTracker manuals, update any changes that are communicated by the Database and Systems Manager
Serves as the daily liaison for Meals on Wheels outer counties by coordinating meal units and route sheets, and supporting Program Managers in maintaining accurate, timely communication on units served and ensuring client updates are entered correctly in the ServTracker system
Serv as backup in the preparation of the daily route sheets for Meals on Wheels as requested/as needed by the Program Manager or Associate Division Director
Serve as the primary administrator and subject matter expert for Meals on Wheels data systems (e.g., client databases, route management systems, funder reporting platforms)
Ensure accuracy, completeness, and consistency of client, meal, route, volunteer, and billing data
Develop and maintain data quality standards, validation checks, and audit processes
Troubleshoot data issues, resolve discrepancies, and implement corrective actions
Track key performance indicators (KPIs) related to meals served, service levels, waitlists, routes, and client outcomes
Analyze trends related to service volume, route efficiency, client demographics, and program growth
Support forecasting, capacity planning, and continuous improvement initiatives
Support reporting, data input, and other administrative tasks as required by the Program Manager
Performs all other duties as assigned
Qualification
Required
Associate degree in business/ administration, public administration, business, information systems, or related field, or equivalent professional experience
Minimum of 2–5 years of experience in data management, reporting, or program analysis, preferably in a nonprofit, healthcare, or social services setting
Strong experience working with databases, spreadsheets, and reporting tools
Ability to manage competing priorities and deadlines
Demonstrated ability to manage complex data sets with a high level of accuracy and confidentiality
Detail-oriented mindset with a focus on data accuracy and quality assurance
Own transportation, valid Colorado driver's license, and proof of insurance
Preferred
Experience with aging services, healthcare, or Medicaid-funded programs
Familiarity with funder reporting requirements and compliance standards
Exceptional attention to detail and organizational skills
Strong analytical and problem-solving abilities
Knowledge of quality assurance and continuous improvement methodologies
Possess an ability to listen effectively and respond creatively to program participants' concerns
