Hotard Coaches is a premier passenger transportation company with a large fleet in Texas and Louisiana. They are seeking a Contract Billing Specialist to support their accounting team by managing contract billings and vendor invoices, ensuring timely and accurate financial reporting.

Responsibilities

Obtains information from internal and external sources to accurately track and account for all transactions associated with the associated Hotard Shuttle contract billings

Builds & maintains a tracker to identify hotel accommodations, per diem, fuel, and other related expenses to speed up monthly billings

Processes the monthly billings for applicable contracts within 5 business days after month-end

Processes vendor invoices within accounting software ensuring accurate general ledger coding and proper management approval

Reconcile invoices entered in accounting software against vendor statements and reach out to vendors to resolve discrepancies

Supports management in providing timely and accurate details of which supplier invoices to accrue for during month-end close

Fills out credit applications for new vendors and obtains management approvals

Supports management in preparing schedules and roll forwards for monthly close activities and year-end financial statement audit

Assists with annual 1099 preparation and vendor maintenance for Hotard

Other special projects as assigned by the General Manager & Assistant Controller
