Responsibilities

Prepares routine correspondence and pleadings for the review and signature of attorney(s). Creates and maintains standard form documents of legal correspondence and pleadings
Proofread and process attorney(s) work product at the direction of assigned attorney(s) and section supervisor. This entails making physical and digital copies of prepared and signed documents and ensuring physical and/or electronic mail service is completed as directed
Processes and distributes incoming mail. Manually updates mail logs, calendars, case management, and document management systems. Physically delivers incoming mail to attorneys and delivers outgoing mail to appropriate pick-up points. Promptly advises victim’s advocate division of any development and/or status of assigned cases by promptly updating the case management system
Assists with telephone reception in the Section; screens and transfers calls appropriately. Manually prepares written messages and personally delivers them when appropriate or necessary. Acts as a representative for the assigned attorney(s) in communications with public officials, including solicitors, judges, court staff, private individuals, including attorneys, and victims; and governmental agencies
Maintains current knowledge and/or information regarding legal formats, points of contact, addresses, etc., to ensure efficient and proper handling of assigned work
Promptly files all documents in the appropriate case files, maintains case files in an orderly manner in the file room, and closes files promptly. This entails physically inserting and removing material in the files and taking closed files to the file coordinator. The ability to lift and shelve physical files with or without reasonable accommodation is required
Handling reasonable requests or tasks as required by the administrative coordinator or the section supervisor, including auditing physical and digital files upon request and maintaining spreadsheets in Microsoft Excel

Required

Bachelor's degree, meaningful legal or administrative work exposure, or a high school diploma and four years of legal or administrative experience
Position requires frequent stooping and/or bending
Position requires frequent lifting: 25 lbs

Preferred

Requires excellent typing and organizational skills and the ability to prioritize multiple demands
Must possess a working knowledge of Microsoft Office products, foremost Word and Excel
Must use Adobe Acrobat
Must be detail-oriented, have good interpersonal and communication skills, be reliable, and have a positive attitude
Must be willing to take initiative to begin routine tasks before being asked and adaptable to the attorney's preferences
Prior experience as a legal assistant is helpful
Knowledge of the principles, policies, and practices of office management
Knowledge of applicable terminology
Knowledge of relevant laws, regulations, policies, and organizational functions
Ability to effectively plan and organize work activities and prioritize task completion according to schedules and goals
Ability to communicate effectively
Ability to exercise judgement and discretion in interpreting and applying policies and procedures
