Fleet and Payroll Coordinator

Responsibilities
Accurately process payroll in accordance with company policies and applicable federal, state, and local regulations
Maintain and update employee payroll records, including timekeeping, deductions, and benefits
Prepare and reconcile payroll reports; assist with tax filings and year-end reporting (W-2, 1099)
Respond promptly and professionally to employee inquiries regarding compensation and benefits
Collaborate with Human Resources to ensure accurate onboarding and offboarding payroll adjustments
Other duties as assigned
Assist with conducting motor vehicle record checks and enter the information into the compliance system
Oversee the administration, maintenance, and compliance of the company’s vehicle fleet
File maintenance records and any other documentation either electronically or physically for all company fleet vehicles
Ensure timely registration, insurance coverage, and adherence to safety and regulatory standards
Monitor fuel usage, mileage, and maintenance schedules to optimize cost efficiency
Coordinate preventive maintenance and repairs with approved service providers
Maintain comprehensive fleet records and prepare periodic performance and cost reports for management
Develop and enforce policies related to driver safety and vehicle utilization
Monitor, audit, and troubleshoot the fleet vehicle GPS system according to department SOPs and protocol
Assist with the physical installation or removal of vehicle GPS equipment
Other duties as assigned
Qualification
Required
Must be at least 18 years of age or older, have a high school diploma or GED
Must be legally authorized to work in the United States of America
Must be of good moral character, have no felony convictions, and be able to pass a criminal background check in accordance with all company policies, federal, state, and local laws
Must be able to successfully pass a drug test at the time of hire and randomly thereafter
Must have above-average organizational skills and acute attention to detail
Must present a friendly, positive, professional image to clients, employees, supervisors, managers, and the general public
Must possess high-quality verbal, written and interpersonal communication skills, ability to solve problems and de-escalate situations in a non-confrontational manner
Must have the ability to multi-task
Must be able to work independently, with little or no supervision
Must possess the ability to perform basic mathematical calculations such as addition, subtraction, multiplication and division, at a minimum
Must possess excellent computer skills, specifically in Microsoft Word, Excel (including the use and creation of formulas to modify and analyze data), PowerPoint, and Outlook
Must have reliable transportation and ability to travel, if needed, to perform essential functions of the job
Must not have more than one at-fault accident or more than two moving violations on their driving record within the last three years
Physical Requirements: Must be physically and mentally sound. Must be able to use hands and fingers to handle or feel objects, tools, or controls. Must be able to reach with hands and arms, and to hold objects. Must be able to sit, stand or walk for 8-12 hour shifts, including walking long distances, and possibly up and down stairs. Must be readily able to respond to emergency situations. Must be able to work in or outdoors during all seasons. Must be able to hear conversations (in person or via 2-way radio) in noisy environments

Preferred
Possessing an Associate's, Bachelor's Degree or greater in Business Administration, Accounting, or related field is strongly preferred
Proficiency in payroll systems (e.g., ADP, Paychex) is preferred
Knowledge of basic vehicle maintenance and regulatory compliance is preferred
