Records Management System and Payport/TPII Administrator
The Colorado Department of Revenue is dedicated to safeguarding lives and providing public safety services to local communities. They are seeking a Records Management System and Payport/TPII Administrator to provide ongoing system administration for their cloud-based Records Management System and serve as the point of contact for Colorado’s PayPort Program, offering technical and operational assistance to users.
Government Administration
Responsibilities
Records Management System (RMS) Administration, Maintenance, and Troubleshooting
Performs routine and recurring administrative and maintenance and troubleshooting tasks including system updates, application configuration, data object and field changes, data maintenance, system security, user or application license management, user role or permission level management, and user access management
Creates, maintains, and troubleshoots API and other system-to-system connections, automation, and externally facing portals or pages
Creates, maintains, and troubleshoots templates for items such as email distributions and generated documents like certifications, permits, and invoices as required for Division operations
Prioritizes and triages resolution of issues with RMS applications and devices used to access them raised by Division stakeholders
Remains informed of all upcoming RMS application releases, communicates their potential impact, and orchestrates change activities while ensuring minimal interruption to Division or external stakeholders
Maintains PayPort security, controls Division staff access to the system, creates and edits items, assigns a price to items, deactivates or removes items, creates and edits users (staff), resets passwords, and deactivates or removes users
Pulls audit reports from TPEII and reconciles those reports with PayPort manager reports, identifying any payments that were directed to the wrong state account and notifying EDO Accounting that the transaction needs correcting
Identifies areas where manually taken steps may be automated or stopped without disrupting operations and proposes solutions to stakeholders
Establishes and follows standard operating practices to provide consistency and ease of use for individuals working within or managing the RMS applications
Creates policies and procedures required for the continued operation of the RMS applications
Receives business requirements and modification requests based upon rules changes or Division needs and updates systems involved to meet new standards
Records Management System (RMS) Training, and Support
Offers in person, virtual, recorded, or written troubleshooting assistance and training to internal and external RMS application stakeholders
Plans and leads RMS stakeholder meetings as a subject matter expert to gather details about issues and system errors that require troubleshooting or requirements for new system functionalities, translates business terminology into technical action plans and manages plans to completion
Tailors communications about troubleshooting, training, and support to the audience receiving them, differentiating between stakeholder technical knowledge levels
Provides support as a main point of contact and coordinates with users, the Data and Analytics Unit Supervisor, CDPS staff members, Governor’s Office of Information Technology (OIT) staff members, and vendors to troubleshoot and solve complex functionality problems
Provides technical summaries to RMS stakeholders and performs root cause analysis activities as required to ensure RMS application issues are permanently resolved
Receives business requirements and modification requests based upon rules changes or Division needs and updates systems involved to meet new standards
Data Analysis & Reporting
Provides subject matter expert expertise in identifying data records, extracting them, and providing resulting metrics or other products to stakeholders as needs are shared for the continuation or improvement of Division operations
Proposes data changes that will result in better outcomes for Division stakeholders based on subject matter expertise or advisements from external partners
Position may be asked to perform other duties to meet the goals of DFPC
Qualification
Required
Six (6) years of relevant experience as a System Administrator, IT Administrator, Records Management System Administrator, Systems Analyst or other similar position
A combination of related education and/or relevant experience as a System Administrator, IT Administrator, Records Management System Administrator, Systems Analyst or other similar position equal to six (6) years
Requires successful completion of a background investigation that includes a polygraph exam, a fingerprint based criminal history search, and reference checking
Must be a Colorado resident at the time of application
Preferred
Preferred certification in the following applications: Salesforce, FormAssembly, Box, NetExam, S-Docs, and Improved Apps
Knowledge of relational databases, marketing communication platforms, data surveying forms and tools, file storage systems, document generation systems, and other records management platform capabilities shall be required
