Project Manager( ServiceTitan Exp. Needed)

Semper Fi Heating and Cooling is seeking a highly organized Project Manager to lead cross-functional initiatives that support operational excellence and technology advancement. The role involves managing complex projects, particularly software implementations and system integrations, while ensuring projects are delivered on time and within budget.

Responsibilities

Lead end-to-end project management activities including project initiation, planning, execution, monitoring, and closeout
Develop detailed project plans, timelines, milestones, budgets, risk assessments, and resource allocations
Ensure adherence to project management best practices aligned with PMP standards
Manage multiple concurrent projects while maintaining quality, accountability, and deadlines
Proactively identify project risks, dependencies, and roadblocks; develop mitigation strategies
Track project performance using KPIs and dashboards, providing regular status updates to leadership
Lead software implementation initiatives, upgrades, and optimization projects across the organization
Serve as project lead for ServiceTitan implementations, enhancements, modules, and integrations (preferred experience)
Coordinate software rollouts including requirements gathering, configuration, testing, training, go-live, and post-implementation support
Partner with internal teams (Operations, sales, Accounting, HR, Marketing, IT) to ensure systems meet business needs
Oversee data migration, system configuration, user adoption, and change management efforts
Manage software integration projects involving APIs, third-party tools, and internal systems
Collaborate with vendors, developers, and IT partners to define integration requirements and technical specifications
Ensure seamless data flow between platforms such as CRM, dispatching, accounting, payroll, marketing, and reporting tools
Validate integration accuracy, security, and performance through testing and quality assurance processes
Maintain documentation for system architecture, integrations, workflows, and technical dependencies
Act as a primary liaison between middle management, executive leadership, vendors, and external stakeholders
Translate technical concepts into clear, business-friendly language for non-technical stakeholders
Facilitate project meetings, executive briefings, steering committees, and stakeholder reviews
Align project objectives with company strategy, operational goals, and leadership priorities
Manage expectations, escalate issues appropriately, and drive consensus among diverse stakeholder groups
Identify inefficiencies and gaps in current workflows, systems, and processes
Lead process improvement initiatives to enhance productivity, data accuracy, customer experience, and scalability
Standardize project documentation, SOPs, and implementation frameworks
Support change management by developing communication plans, training materials, and adoption strategies
Manage relationships with software vendors, consultants, and implementation partners
Evaluate vendor proposals, contracts, and scopes of work
Track project budgets, invoices, and ROI to ensure financial accountability
Ensure vendor deliverables meet agreed-upon timelines and quality standards

Required

Bachelor's degree in Business Administration, Project Management, Information Systems, or a related field (or equivalent experience)
PMP-based project management knowledge (certification preferred)
3+ years of project management experience, preferably in HVAC, home services, construction, or a fast-paced operational environment
Hands-on experience with ServiceTitan or similar field service management platforms (highly preferred)
Strong understanding of software integrations, APIs, and system architecture concepts
Experience working directly with executive leadership, middle management, and cross-functional teams
Exceptional communication, organization, and stakeholder management skills

Preferred

PMP certification (active or in progress)
Experience integrating ServiceTitan with accounting (e.g., QuickBooks, Sage), payroll (e.g., Paychex, ADP), CRM, marketing automation, or BI/reporting tools
Proven experience leading software implementation projects from start to finish
Background in operational process improvement or business transformation
Experience in change management and end-user adoption strategies
Familiarity with Agile, Waterfall, or hybrid project methodologies
