Responsibilities

Coordinate the day-to-day administration of employee benefits programs, including medical, dental, vision, supplemental insurance, wellness programs, and the 401(k) plan
Assist with oversight and manages aspects of the employee benefits programs, including health, dental, vision supplementary insurance 401k plan to ensure accurate administration and a positive employee experience
Respond to and resolve employee benefits questions and concerns in a timely, professional, and confidential manner
Run Affordable Care Act (ACA) eligibility and compliance reports
Prepare and process COBRA updates and submissions for review and approval
Review benefits eligibility, enrollment, and reconciliation processes within the Company’s HRIS system
Maintain benefits records and conduct periodic audits, validations, and reconciliations to ensure data accuracy, compliance, and effective internal controls
Assist with maintaining vendor relationships, including insurance carriers, TPAs, brokers, and benefit plan providers
Support benefits system integrations by assisting with reporting, interface monitoring, troubleshooting, and validation
Assist with audits and year-end reporting requirements, including Form 5500 filings for health, wellness, and retirement plans
Coordinate leave requests related to short-term and long-term disability, including discussing benefits with employees prior to leave and maintaining ongoing communication with HR to ensure accurate and timely administration
Review and reconcile invoices from benefit plan providers, including health insurance carriers, to ensure accuracy and resolve discrepancies
Research, analyze, and prepare benefits-related data and reports while maintaining comprehensive and accurate documentation
Work with the HRIS vendor to support system functionality, data integrity, and benefits module accuracy
Collaborate with insurance carriers, TPAs, brokers, and plan providers to resolve issues and ensure efficient program administration
Assist with the development and distribution of benefits-related communications and educational materials
Serve as a knowledgeable resource for employees by providing guidance on benefit plan options, eligibility, and changes
Recommend process improvements to enhance efficiency, accuracy, and employee experience
Travel to various company locations as needed
Perform other related duties as assigned
Support compliant administration of employee benefits in accordance with applicable California and federal laws, including ACA, COBRA and Cal-COBRA, ERISA, HIPAA, CFRA, FMLA, Pregnancy Disability Leave (PDL), SDI, and Paid Family Leave (PFL)
Assist with coordination of benefits and leave entitlements to ensure proper continuation, reinstatement, and employee notifications under California law
Maintain accurate records to support audits, regulatory inquiries, and internal compliance reviews
Partner with HR, payroll, and external vendors to ensure timely delivery of required notices and accurate benefits administration

Required

3-5 years of experience in benefits administration, HR operations, or a related role
Working knowledge of California and federal benefits-related laws and regulations, including ACA, COBRA and Cal-COBRA, ERISA, HIPAA, CFRA, FMLA, Pregnancy Disability Leave (PDL), California State Disability Insurance (SDI), Paid Family Leave (PFL), and related notice and reporting requirements
Strong organizational skills with high attention to detail and accuracy
Ability to manage multiple tasks and meet deadlines in a fast-paced environment
Strong interpersonal and communication skills
Ability to maintain confidentiality and handle sensitive information with discretion

Preferred

Associate's or Bachelor's degree in Human Resources, Business Administration, or a related field preferred
Experience supporting benefits administration for a California-based company; multi-EIN experience preferred
Well-versed in HRIS and benefits administration systems; experience with WURK or other HCM platform a plus
