Responsibilities
Greets and screens incoming people at the front receptionist area
Professionally answers and distributes all incoming phone lines within 3 rings
Responsible for scanning, and routing accounting documents including but not limited to invoices, statements, receipts, certificates of insurance, and other miscellaneous items into our system daily. Scanned items then attached digitally utilizing Spectrum software
Works closely with Accounts Payable staff
Has a working knowledge of office equipment, calls for repairs and maintenance when needed
Assists with preparation for and onboarding of new employees
Maintains all aspects of the incoming and outgoing mail and postage machine
Coordinates FedEx, UPS, and US Postal Service shipments and maintains shipping supplies
Prepares and maintains an accurate office supply inventory including personal protection equipment
Keeps tracking records for supplies, printer and copier ink, packages and other items as needed
Maintains front office, breakrooms and conference rooms
Assists all personnel and Managers with various clerical duties and special projects as directed
Qualification
Required
Prefer 3 years of experience in related area
Proficient in Microsoft applications
Proficient in the use of phone system, copiers, fax machines, postage machine and other general office equipment
Ability to work at computer for extended periods of time
Able to direct calls, manage call queues, and utilize Teams calling features to handle incoming and outgoing business calls
Must be able to lift 25 lbs
Must be able to maintain high level of confidentiality
Position requires enthusiasm and a positive attitude as you are a reflection of the company
Position requires paying close attention to detail, and the ability to stay focused for long periods of time
Effective verbal and written communication skills
