Membership Experience Manager

Responsibilities

Respond to member inquiries, concerns, and feedback promptly and professionally
Serve as a point of contact for club members by responding promptly to texts, emails, and inquiries with exceptional customer service
Welcome and assist members and guests, especially during high-traffic times, ensuring a warm and seamless experience
Support private events and member activities in coordination with the Membership team
Maintain accurate membership records, feedback logs, and organized member files within the database and member portal
Assist with member communications and engagement efforts, including outreach for birthdays, anniversaries, welcome gifts, and benefit promotions
Provide general administrative support, assist with club app management, and complete additional duties as assigned, with flexibility to work varied schedules
Work with members and planners to coordinate logistics, such as catering, audiovisual equipment, and accommodations, to ensure a smooth event operation and serve as a primary point of contact for all events
Collaborate with members, event planners, and vendors to understand the service requirements and expectations for each event. Develop service plans, including staffing, equipment, supplies, and timelines, to ensure seamless service delivery
Meet and exceed established sales targets and report on these goals each month
Liaise with vendors and suppliers to coordinate service-related logistics, such as catering, audiovisual equipment, decor, and rentals. Maintain strong relationships to ensure timely and quality service delivery
Oversee event setup, ensuring that service areas, seating arrangements, signage, and other elements are in place according to the event plan. Coordinate with venue staff and vendors to ensure a smooth and efficient setup process and create all event signage
Maintain open and effective communication with event planners, vendors, and internal teams to coordinate service requirements, address challenges, and ensure a coordinated event experience. Collaborate closely with other event staff to synchronize service operations with overall event logistics
Work within allocated budgets, managing service-related expenses effectively. Monitor and control costs, negotiate favorable contracts with vendors, and optimize resource utilization to achieve cost efficiencies
Conduct post-event evaluations to gather feedback from clients and attendees regarding service quality. Use feedback to identify areas for improvement and implement changes for future events

Required

Bachelor's degree in hospitality management, event management, or related field (or equivalent experience)
2+ years of experience in managing service operations, preferably in the special events industry
Proven experience in membership management or a related hospitality role
Strong communication, interpersonal, and networking skills
Excellent written and verbal communication skills with a professional tone
Exceptional interpersonal and communication skills to interact effectively with clients, vendors, and staff
Highly organized with the ability to multitask and manage priorities effectively
Proficient in relevant software and tools, such as event management software and POS systems and Microsoft Office. Comfortable learning new technologies and systems quickly
Ability to work under pressure and adapt to changing event dynamics
Flexibility to work evenings, weekends, and travel as required
