Family Time Program Coordinator - West Seattle

Responsibilities

Support the Center by maintaining the hours of operation, providing reception duties, and supervising children awaiting placement
Answering the phone, opening the door for visitors, performing complex scheduling/calendaring, and daily scheduling
This position has extensive involvement with staff, clients and/or children, providing support when needed
Provide required center cleaning and maintenance on an immediate and/or daily basis for the safety and welfare of all using the center
Process requests for family time visitations and transportation requests for children and families
Process referrals using Sprout software and send referrals to contracted providers until referrals are accepted
Troubleshoot referrals/complicated cases with the caseworker
Notify caseworkers when their case has been picked up by a provider
Maintain statistical data to monitor program activities in relation to established program parameters
Support the region by processing Sprout Discovery Records Requests
Receive requests for Sprout visit reports during the specified timeframe via Smartsheet as submitted by the caseworker
Submit documents to the appropriate folder or email to prep for redactions
Support the region by processing Courtesy Supervision Requests
Email and coordinate requests to the appropriate office point person and log requests
Review family time referrals for accuracy within the Sprout database
Maintain statistical data to monitor program activities
Support family time contracted providers in the use of the Sprout Program
Troubleshoot issues with DCYF personnel concerning Family Time referrals
Solve problems and use de-escalation skills to solve problems that may arise when working with families; call 911 when necessary
Provide Family Time services when possible and/or assist with children awaiting placement
Document interactions with parents and children during Family Time using the state’s FAMLINK system

Required

High School diploma or equivalent
Two years of experience working with children, youth, or families in the program specialty
Equivalent education and or experience totaling two years
The ability to take action to learn and grow
The ability to take action to meet the needs of others

Preferred

Minimum of 12 months of experience and proficiency in operating a computer and keyboard
Minimum of 12 months of experience and proficiency in using word processing software such as Microsoft Word and Microsoft Excel
Minimum of 12 months of experience in composing, sending, and responding to electronic mail
Proficiency in the utilization of e-mail program functions such as calendar and meeting requests
Ability to effectively communicate and comprehend (through oral and written forms of communication) with management, peers, clients, community colleagues and the public in a respectful and efficient manner
