Supervisor - Medical Operations Support - General Internal Medicine

Responsibilities
Manages daily operations for multidisciplinary support teams which include numerous departments, divisions and/or subspecialties in alignment with institutional mission, vision and objectives
Directs, supervises, and coordinates all administrative activities of the medical practice within the established guidelines set forth by Mayo Clinic ensuring adherence to all policies, procedures, and regulatory requirements
Ensures the practice maintains service excellence, compassion and respect by partnering with patients, family and colleagues to continuously improve the health care service experience and assists staff with patient service recovery in an effort to create an unparalleled patient experience
Provides supervision for the non-clinical staff including organizing work assignments, counseling, problem solving, productivity monitoring, evaluating performance, implementing improvement projects, and maintaining payroll functions
Management duties include facilitating the hiring process, monitoring staff qualifications, orientation, and training
Is responsible for the coordination and management of complex clinical, technical, and administrative functions and ensures employees are competent to perform the same
Performs duties independently and initiates judgment in handling a variety of issues including project management for multiple departments and divisions and for varying Operations Administrators and Operations Managers
Serves on various leadership teams with a primary focus on planning and implementing policies, procedures and processes that facilitate efficient workflows
Proactively implements approved action plans to resolve problem areas, actively participates in goal setting for the practice, and coordinates the efforts to efficiently meet the operational goals of the departments/divisions assigned
Provides a broad range of consultative services as the subject matter expert to all levels of employees regarding processes, policies and procedures
Assists with the design and implementation of office construction and renovation projects
Is responsible for the oversight or direct management of complex template/calendar builds for multiple departments/divisions
Provides strategic oversight regarding access management and ensures staff facilitate appropriately in the outpatient practice
Assists multiple physicians and/or department/divisional chairs by performing in-depth educational, research, administrative and clinical duties and tasks and ensures employees are able to provide the same level of service
Maintains excellent lines of communication between the staff and providers to ensure high employee morale and a professional atmosphere
Safeguards confidential information concerning both staff and patients
Maintains appropriate records and required documentation
Qualification
Required
Associate degree required or 2 years' experience in a Medical Operations Support position
Minimum of five years management experience in a healthcare setting is desired
Graduates from a medical related degreed program with previous supervisory experience may be considered
Must be proficient with advanced computer systems/applications
In-depth knowledge of Microsoft Office Suite tools
Superior written and verbal communication skills
Strong conflict management skills
Knowledge of multiple software systems
Comfortable with technical office equipment, i.e., computers, printers, dictation/transcription equipment, fax machines, copiers, and phone systems
Strong leadership and investigational/critical thinking skills
Ability to work collaboratively with multiple disciplines
Ability to coordinate, manage, and prioritize multiple tasks and projects simultaneously for various departments and divisions
Work independently with a high level of organization and productivity
Strong sense of business acumen
Excellent writing and communication skills
Ability to express ideas clearly and logically in a variety of media
