Responsibilities
Book and confirm commercial airline tickets, hotel reservations, and rental car reservations for crew members
Serve as primary point of contact for crew inquiries, providing timely and effective support and resolution
Provide on-call assistance to crew members during rotations, addressing requests and ensuring operational continuity
Manage crew scheduling tasks such as tracking duty status, call-outs, and on/off duty times
Maintain accurate records of reservations, crew details, and airline ticket credits for future use
Assist schedulers with coordination of aircraft accommodations (e.g., hangar space, late arrivals)
Ensure adherence to all company policies, safety protocols, and regulatory requirements, including full understanding of Part 91/135 operations
Participate in special projects and complete additional tasks as assigned by department leadership
Support general operational needs across departments, contributing to TransMedics' mission and team efficiency
Qualification
Required
High school diploma required; Associate's degree preferred
Prior experience in Part 135 operations or aviation industry required
Preferred
Prior experience in aviation, crew management, or customer service required
Strong personal and work ethics along with a high level of integrity
Working knowledge of FAA regulations related to Part 91/135 operations
Strong interpersonal, organizational, and leadership skills
Ability to work under pressure, manage multiple priorities, and meet tight deadlines
Must be self-motivated, detail-oriented, and capable of working both independently and as part of a team
Strong decision-making and problem-solving abilities
Excellent verbal and written communication skills delivered with professionalism
Proficient in basic math calculations, including decimals, time conversions, as well as a 24-hour clock format, and UTC
Proficient with Microsoft Office (Word, Excel, Outlook, PowerPoint), SharePoint, and internet navigation
Proficiency in using industry-specific software and tools with the aptitude to learn new software
Familiarity with travel management systems such as AmTrav or similar platforms
