Administrative & HR Coordinator
Peoplelink Staffing Solutions is partnering with a growing organization to find a detail-oriented Administrative & HR Coordinator. This role supports front office operations, HR, payroll coordination, and accounting functions, requiring strong organizational skills and attention to detail.

Responsibilities
Answer incoming phone calls and provide information or direct calls appropriately
Greet visitors and escort them to the correct person or waiting area
Sort, distribute, and send outgoing mail
Send monthly birthday cards and mass company emails for events or announcements
Water plants and maintain office appearance
Order office and kitchen supplies through Amazon
Restock kitchen, bathroom, and office supplies as needed
Correct employee transaction errors in Workwise using Time Approval and Error Correction programs
Run daily Attendance Transaction reports and save to payroll records
Perform end-of-day postings including Transaction Update, Transaction Management, and Job Costing
Enter new employee badges and ensure correct location setup
Deactivate old or inactive badges
Update payroll tracking spreadsheets daily using data from Amplify, Workwise, Door Access, and other sources
Track vacation hours entered in Amplify
Distribute payroll spreadsheets to employees and supervisors prior to payroll submission
Assist employees with app access for timekeeping, PTO requests, and account logins
Compare payroll spreadsheets with final payroll reports alongside HR
Answer basic HR-related employee questions
Create and deactivate Door Access badges
Create and maintain employee personnel files
Open and date-stamp invoices and deliver to accounting
Open checks, sort alphabetically, separate stubs, run totals, and deliver to accounting
Mail outgoing checks
Enter credit card transactions into Clover
Scan and organize receiving reports, rename files accurately, and file appropriately
Qualification
Required
Strong computer skills and ability to work with multiple systems and spreadsheets
High attention to detail and ability to manage confidential information
Strong communication and customer service skills
Ability to multitask and stay organized in a fast-paced office environment
Preferred
Prior experience in administrative, HR, payroll, or accounting support
