Responsibilities
Coordinate logistics for meetings, receptions, convenings, trainings, and more
Manage details like venue selection, catering, RSVPs, space setup, travel, and materials
Collect and circulate relevant documents, including agendas, run of show, guest lists, speaker remarks, and BEOs
Provide onsite or virtual support during events (occasional travel required)
Help maintain internal tools like contact lists and resource libraries
Assist with scheduling, data entry, and documentation for key initiatives
Take on short-term projects to meet emerging needs across the organization
Collaborate with staff across multiple departments to ensure event success
Stay flexible as needs shift, and step in where your support makes a difference
Keep communication clear, timely, and positive
Qualification
Required
2-4 years of experience in administration, project coordination, or event planning
Comfort managing multiple timelines and priorities
Strong organizational skills and attention to detail
Excellent verbal and written communication
Fluency with the Microsoft Office Suite, including Word, Excel, PowerPoint, Outlook, and Teams platforms
A team-first orientation and a proactive approach to problem-solving
Comfort with flexibility and a growth mindset - your contribution may adapt to meet the moment as you progress professionally
Willingness to travel occasionally (up to 10%) for major events
