Marketing & Outreach Coordinator
Pacific Advisors supports Producer Groups in identifying and onboarding team members specializing in disability insurance and financial planning for physicians. The GSI Marketing & Outreach Coordinator manages marketing and communication efforts to drive awareness and engagement in GSI programs, coordinating various events and managing resident data.
Responsibilities
Build and maintain a complete resident database across all GSI programs
Track interactions (webinars, lectures, events, consults, email activity)
Maintain tagging and segmentation (program, specialty, PGY year, lead stage)
Monitor data completeness and accuracy; support automation where possible
Coordinate monthly webinars including scheduling, registration, reminders, and follow-up
Maintain lecture scheduling across specialties with Program Chiefs and GME leadership
Track attendance, tag engagement, and support post-event communication
Upload recorded webinars and educational content when applicable
Plan and execute resident events (Phoenix & Seattle), including logistics, RSVPs, and vendor coordination
Manage post-event workflows to encourage consultations and underwriting activity
Serve as primary point-of-contact for academic program partners when coordinating lectures and events
Build webinar invitations, drip sequences, education campaigns, and follow-up emails
Draft content for email, social media, lectures, and announcements
Manage the team’s social media presence with regular educational posting and engagement
Assist in creation of short videos, graphics, and educational media; maintain approved content library
Support updates to GSI website content and landing pages
Upload videos, resources, event recaps, and recorded webinars
Track engagement and assist with basic analytics
Ensure every lead is captured, tagged, followed, and routed appropriately
Support advisors by scheduling meetings and sending follow-up materials
Monitor pipeline activity and help maintain consistent engagement
Track monthly activity (webinars, events, emails, leads, and conversions)
Maintain clean reporting dashboards for leadership
Identify trends and make recommendations to improve GSI penetration
Ensure marketing content complies with Guardian and PAS requirements
Communicate professionally with residents, physicians, and academic partners
Maintain confidentiality and disciplined data handling
Qualification
Required
2+ years in marketing coordination, CRM operations, event management, or similar role
Strong organizational and project management skills
Excellent writing and communication ability
Tech-savvy (CRM, spreadsheet tools, email platforms, social media)
Preferred
Experience in financial services, healthcare, higher education, or event planning
