As a Release of Information (ROI) Technician, you will validate, process, and fulfill ROI requests while ensuring compliance with privacy regulations and maintaining the highest standards of security.
Responsibilities
Validate, process, and fulfill ROI requests from patients, providers, legal entities, insurers, SSA, and other authorized parties
Ensure every disclosure complies with HIPAA, the Privacy Act, FOIA, 38 U.S.C. §7332, and VHA Directive 1605.01
Meet performance standards, including:
95%+ of routine requests completed within 20 business days
Same-day turnaround for STAT/urgent requests
Accurately categorize requests (continuity of care, insurance, legal, government, etc.)
Log and track all requests using eROI+ and VistA Imaging Capture
Request and retrieve archived records through the VA Records Retrieval System
Communicate professionally with requestors, providing status updates and compliant cover letters
Maintain 100% security compliance when handling Protected Health Information (PHI)
Achieve 95%+ documentation accuracy while managing multiple deadlines
Qualification
Required
At least 1 year of full-time ROI experience in a medical or healthcare setting
Strong working knowledge of HIPAA and the Privacy Act
VA-specific disclosure regulations
Handling sensitive records (HIV, substance use disorder, reproductive health, mental health)
Hands-on experience with VA systems: VistA, CPRS, eROI+, VistA Imaging
Ability to complete annual VA privacy, security, and HIPAA training
U.S. Citizenship and proficiency in English
Preferred
Prior VA ROI experience (significantly reduces onboarding time)
Experience in large academic or tertiary-care medical centers
Deep understanding of federal privacy laws beyond HIPAA
Familiarity with Records Retrieval System (VA archives)
SSA Electronic Records Express (ERE)
Advanced eROI+ workflows
Ability to work independently in a remote, VPN-based environment
Strong customer service skills and confidence handling sensitive or emotional conversations
Excellent time management and multitasking abilities
