Administrative & Office Coordinator

Express Employment Professionals is seeking a highly organized and proactive Administrative & Office Coordinator to manage daily office operations and support various administrative functions. The ideal candidate will oversee office activities, manage scheduling, assist with event planning, and handle vendor management to ensure smooth workflow across departments.

Responsibilities

Oversee and coordinate office activities, including front desk operations and multi-line phone systems
Manage calendar scheduling, appointments, and meeting arrangements for staff and executives
Assist with event planning and logistics for company functions and meetings
Supervise administrative staff and provide training & development opportunities
Handle vendor management, including negotiations and maintaining professional relationships
Maintain accurate bookkeeping, payroll processing, budgeting, and financial recordkeeping using QuickBooks or similar software
Support human resources functions such as onboarding, employee records management, and policy compliance
Manage filing systems, documentation, and record retention processes
Ensure effective communication within the team through phone etiquette and clear correspondence
Perform general clerical duties including data entry, document preparation, and office supply management
Support medical office management tasks if applicable

Required

Proven experience in office management or administrative roles with a focus on clerical or medical office settings
Proficiency in QuickBooks, calendar management software, and multi-line phone systems
Strong background in event planning, vendor management, payroll administration, budgeting, bookkeeping, and human resources functions
Excellent communication skills with the ability to handle front desk responsibilities professionally
Demonstrated organizational skills with the ability to multitask efficiently in a fast-paced environment
Prior experience in office experience or administrative support roles is essential

Preferred

Supervising experience preferred; capable of overseeing team members effectively
Experience in training & development initiatives is a plus
