HR & Administrative Specialist

They are seeking an HR & Administrative Specialist to support their team by managing the full recruiting lifecycle, HR administration, benefits coordination, and office operations, while also enhancing the employee experience.

Responsibilities
Own recruiting for both Fountain City Logistics and Freight Caddie
Create and maintain job descriptions for all roles
Post all job openings on LinkedIn and other platforms; manage applicant flow and resume sorting
Conduct phone screens and manage candidate referrals, including follow-ups and closing the loop
Pass detailed candidate notes to hiring managers and interview teams
Coordinate and schedule interviews across teams
Own onboarding for new hires, including paperwork, system logins, introductions, and first-week schedules
Handle any required paperwork for out-of-state hires to support new state compliance
Own the insurance broker relationship
Handle employee benefit and 401(k) questions and provide benefits education
Maintain and update insurance certificates for customers
Own the employee handbook and assist with time-off auditing, STD, and related processes through proper channels
Keep the organizational chart accurate and up to date
Support offboarding processes as needed
Serve as the primary office administrator and point of contact for office-related needs
Order, stock, and manage office supplies (from pens to coffee to Costco runs)
Work with vendors for office services, insurance needs, and required paperwork
Check office mail daily
Open incoming checks and scan them to accounting
Track association memberships, renewals, trade show signups, and maintain a shared events/calendar
Assist with special projects and additional administrative duties as assigned
Coordinate employee surveys and engagement initiatives
Plan and execute happy hours, company events, and in-office activities
Design and maintain an employee anniversary and recognition program
Manage LinkedIn recruiting posts and encourage internal sharing
Handle surveys and submissions for Inc. 5000, Kansas City Business Journal, and similar recognitions
Qualification
Required
Experience in HR, recruiting, benefits administration, or office management preferred
Strong interpersonal and communication skills with a high level of professionalism
Exceptionally organized with strong attention to detail and follow-through
Ability to manage multiple priorities in a fast-paced environment
Comfortable handling confidential information with discretion
Proficient in Microsoft Office Suite and able to quickly learn new systems
Must be based in Kansas City and able to work in the office full-time
