Financial Aid Assistant

William & Mary Libraries is seeking a Financial Aid Assistant to serve as the primary coordinator for student employment and departmental award processing within the Financial Aid Office. The role involves ensuring compliance with regulations and supporting departments in managing student funding and awards.

Responsibilities

Oversees and monitors all student employment administration, including Federal Work-Study (FWS), employment verifications, and related documentation
Acts as liaison between the Financial Aid Office and campus partners such as Human Resources, Payroll, and Career Services
Develops and facilitates training and informational sessions for campus departments to ensure compliance with federal and institutional policies related to student employment
Coordinates and oversees the Federal Work-Study Community Service Program
Reconciles and monitors Federal Work-Study fund utilization and collaborates with financial aid staff to ensure accurate application of work-study awards to student aid eligibility
Develops, updates, and maintains institutional policies and procedures related to student employment
Performs other related duties as assigned in support of student employment operations
Serves as the primary point of contact for campus departments regarding the awarding process and related policies
Processes and monitors department awards across all schools and divisions to ensure accuracy, timeliness, and compliance with federal and institutional guidelines
Ensures proper documentation and verification of award details, including accounting information, dollar amounts, academic terms, and student records
Communicates key deadlines and policy updates to departments to align award processing with tuition billing cycles
Updates graduate student financial aid packages as departmental awards are added
Coordinates with undergraduate financial aid counselors to resolve over-awards or aid adjustments resulting from additional departmental funding
Provides support, guidance, and policy interpretation to departments using independent judgment
Builds and maintains positive working relationships with all academic and administrative departments
Provides education, investigation, and troubleshooting support to departments regarding award processing, policies, and procedures
Collaborates with the Bursar’s Office to create and maintain detail codes for new departmental accounts
Updates and manages detail code forms and fund data in Banner to ensure accurate tracking of new and existing accounts
Utilizes SQL Developer to maintain up-to-date fund code lists and ensure accurate fund management
Maintains proficiency in financial aid Banner forms and related systems
Processes and submits daily endowment reports to Institutional Advancement for reconciliation

Required

High School Diploma or equivalent
Working knowledge of administrative and office support functions, office equipment, and office management, including practices, protocol, and customer-service etiquette
Some knowledge of general employment practices and procedures
Proven skills in providing a high-level of customer service in a busy work environment utilizing effective problem solving, sound judgement, decision making, and escalated situations, as needed
Demonstrated proficiency in computer skills to include Internet browsers and Microsoft Office: Word, Excel, and Outlook
Demonstrated ability to effectively organize, prioritize, and navigate multiple projects with competing deadlines while providing a high-level of attention to detail and accuracy
Demonstrate ability to work successfully independently and collaboratively as a dedicated team member utilizing a high level of interpersonal skills
Demonstrated ability to communicate effectively, orally and in writing, and disseminate information effectively with a diverse population of faculty, staff and students, and other internal and external constituencies

Preferred

Post high school education such as an Associate or Bachelor's degree, from an accredited institution
Previous customer service and administrative support experience
Previous experience working in a college financial aid office or other higher education administrative or admissions office
Experience with databases such as Access, or the ability to learn new applications quickly
Experience with Ellucian Banner and Workday systems
Familiarity or some experience with financial aid programs, financial aid processes and/or systems, or employment functions
Experience with running and editing SQL scripts
