Wellness Center Operations Coordinator

As a Wellness Center Operations Coordinator, you will be responsible for the administrative and operational management of the company's on-site clinic, overseeing daily functions, financial processes, and health promotion initiatives.

Responsibilities
Oversee and streamline daily clinic operations, ensuring efficiency and high standards of service
Manage clinic resources, including inventory, supplies, and equipment maintenance
Develop and implement clinic policies and procedures to ensure compliance with relevant health regulations
Handle invoice processing, reimbursement procedures, and manage the clinic's operational budget
Monitor expenditures and identify cost-saving opportunities without compromising quality of care
Conduct regular clinic audits (internal and external) to ensure adherence to internal protocols and external regulatory standards
Maintain accurate and confidential health records
Support the safety department and ensure compliance with relevant occupational health and safety regulations (e.g., OSHA)
Serve as the primary liaison between the clinic and various internal departments (e.g., HR, Safety, Finance) to ensure coordinated health services and effective communication
Collaborate with external medical providers as needed
Proactively design, organize, and execute innovative health promotion events and wellness programs that foster high employee participation and engagement
Provide health-related education to employees on various topics (e.g., first aid, health awareness, wellness practices)
Analyze employee health trends and feedback to tailor wellness initiatives that resonate with the workforce
Develop engaging content and materials for health education initiatives, encouraging healthy lifestyle choices
Champion a culture of health and well-being within the company
Be an integral part of the corporate Emergency Medical Services (EMS) response team, co-work with the company's emergency response center, providing support and assistance during drills and on-site medical emergencies
Ensure clinic readiness for emergency situations
Supervise the medical staff team (e.g., occupational health nurses, shift nurses) and oversee day-to-day activities
Counsel employees on medical conditions and help them access medical services
Contribute to the provision of training, advice, health surveillance, vaccinations, and other general occupational health issues
Ensure clinic staff maintain required certifications and stay updated on best practices
Qualification
Required
Valid Registered Nurse (RN) license
Minimum of 1 years of experience in clinic administration, healthcare management, or a similar role
Proven experience in budgeting, invoicing, and financial oversight within a healthcare setting
Demonstrated experience in designing and implementing successful health promotion programs with a focus on employee participation
Familiarity with occupational health regulations and practices
Strong organizational and project management skills with the ability to manage multiple priorities effectively
Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook) and experience with electronic health records (EHR) systems
Sound knowledge of patient documentation systems
Familiarity with US medical systems/resources in Arizona
Highly flexible, proactive, and customer-oriented attitude
Excellent written and verbal communication skills, with the ability to interact professionally with employees at all levels, external partners, and medical professionals
Strong leadership and team collaboration abilities
High degree of discretion, empathy, and patient confidentiality
Proactive problem-solver with a strong attention to detail
Ability to inspire and engage employees in health and wellness initiatives
Strong presentation and persuasive skills to advocate for health programs
Ability to respond to drills or on-site medical emergencies quickly and effectively
Ability to perform duties that may require standing, walking, and occasional lifting of light medical supplies
This role requires participation in and successful completion of all company-mandated training programs
Preferred
Other above-entry medical license (e.g., Nurse Practitioner, Physician Assistant)
Bachelor's degree in nursing, Healthcare Administration, or a related field
