Contract Assistant

Responsibilities
Structure, organize, and maintain the Project’s document repository, ensuring traceability, order, and preservation in accordance with internal and legal regulations
Review technical documents, methodologies, procedures, proposals, and deliverables to validate compliance with Contract requirements
Maintain control and records of all communications sent to and received from the Client
Support the verification of contractual compliance in the documents that must be delivered to the Client
Assist in routine tasks and activities assigned by the Contract Management Department, providing technical and administrative support
Support the review of RFQs (Procurement), validating Technical Specifications and contractual Terms and Conditions
Review, organize, and consolidate reports and supporting documents for Progress Accounts and Project reports
Prepare presentations for periodic reports of the Contract Management Department
Draft letters, memos, minutes, or reports assigned by the Contract Management Department
Follow up on commitments, requests, and actions arising from meetings with the Client, Management, or internal teams
Collaborate with other technical and administrative areas to ensure document alignment and support for Project processes
Qualification
Required
Degree in Civil or Electromechanical Engineering
3–5 years of experience in contract administration, planning, project/site control, or bidding processes
Ability to structure, classify, and maintain order in documentation and processes
Clear drafting skills for technical documents and formal communications
Ability to work collaboratively with technical areas, administrative teams, and Contract Management
Thorough document review and contractual compliance verification
Ability to meet deadlines, ensure traceability, and control deliverables
Control, archiving, and traceability of project documents
Validation of methodologies, deliverables, procedures, and contractual requirements
Microsoft Project or Primavera P6; Microsoft Office (Excel, Word, PowerPoint)
Understanding of terms, clauses, and requirements of construction/service contracts
Preferred
Preferably experience in treatment plant, water, building, or infrastructure projects
Knowledge of Microsoft Project or Primavera P6
Reading-level English (preferred)
