Event Manager - Content & Speaker Management Focus
Dynamic Events, Inc. is a full-service agency specializing in corporate event and meeting planning. They are seeking an Event Manager focused on content and speaker management to oversee various event-based executions and manage relationships with clients and stakeholders.
Responsibilities
Project manage a wide variety of event experiences from client team management, event management, technical digital event builds, and overall deliverables management to achieve the agreed upon execution goal
Partner with key stakeholders at start of the planning process to identify event strategy, audience targets, and organizational goals mapped to overall business goals
Proactively manage and spearhead development process for all events end-to-end including project management, production timelines, event agenda, digital content, space allocation and rhythm of business among stakeholders across multiple time zones
Create and facilitate event agenda with key stakeholders to optimize attendee flow, different learning styles, in-person/digital venue capacity, speaker readiness , event goals and objectives
Escalates and mitigates risks and challenges as identified and provide creative problem-solving solutions
Remain current on new trends in exhibit design and industry trends; including digital and hybrid events
Establish and maintain budgets, purchase orders, 3rd party payments and cross charges, internal invoices for service hours worked, SOW creations, forecasting, and monthly approvals
Effectively participate and partner with third party vendors on planning and execution to ensure all deliverables are timely and accurate
Navigate specified software management tools and/or processes to efficiently and accurately manage event details
Schedule and run conference calls and meetings with key participants and stakeholders including meeting agendas, resources and meeting notes
Advise clients regarding venue selection, contract negotiations, vendor RFPs, and SOWs
Measure KPI results (evaluations, attendance, feedback) on all content and communicate findings back to key stake holders. Modify processes to adopt best practices and incorporate feedback as appropriate
Establish and maintain strong client relationships at senior levels, identify and troubleshoot issues and challenges as they relate to client satisfaction and overall success; identify opportunities to grow existing accounts to support and contribute to overall business goals
Manage all post-event reporting, including attendee evaluation results, stakeholder postmortem reviews, final event reports, and communications
Train and delegate to new hires and support team members at all levels of employment, and develop process and control documents for the events, clients, and the company
Represent Dynamic Events with the utmost professionalism providing quality customer service while maintaining strong ethical business practices
Willingness to travel to provide onsite event management and support, following government guidelines

Qualification
Required
Proficient in MS Office Suite and using web-based collaboration software, content management systems
Strong communication and interpersonal skills; must be able to communicate with respect and discretion with clients, speakers, staff, and vendors, and to adapt communication styles to a wide range of audiences including executive level audiences
The ability to manage competing workloads and prioritize requests to meet deadlines
The ability to produce and present high-level documentation for internal and external purposes
Fast acting, with excellent project management skills and the ability to lead and manage time-sensitive, cross-functional initiatives in a fast-paced environment
Ability to work with minimal supervision, prioritize multiple tasks, and complete scheduled tasks on time under competing deadline pressures
Drive deliverables while navigating ambiguity
Effectively collaborates in a team environment with a spirit of cooperation
Excellent work ethic and demonstrates high personal accountability and ownership
Attention to detail and a high level of accuracy
Highly organized with efficient and effective time management skills
Skill in building and establishing relationships with cross-functional teams and ability to facilitate project activities with each audience including executive level audiences

Reliability and integrity
Minimum of 3-5 years of corporate event experience (tradeshows, seminars, and conferences), tech industry preferred
Bachelor's degree or equivalent work experience
