(PSR) Patient Service Representative (Dental Office)

The Patient Service Representative (PSR) acts as the public relations representative of the Center’s Dental Program, assisting patients and visitors, managing appointment scheduling, and ensuring effective communication within the office.

Responsibilities
Receives all incoming telephone calls to the Department, transfers calls appropriately, takes messages accurately and forwards them in a timely manner
Maintains daily patient appointment scheduling, makes patient appointment reminder calls, and retrieves medical records, if necessary
Greets patients and visitors in a courteous, respectful manner
Registers and/or updates patient demographic information into the patient accounting system on a daily basis
Assembles dental charts according to NHFHS guidelines/protocols
Identifies medical reports and informs Dentist
Analyzes charts and assures correct assembly
Notes documentation deficiencies and routes to the appropriate Dentist
Maintains neat, orderly and systematic filing area
Takes into custody property found on Center grounds; keeps a lost and found record
Accepts patient-related information from various sources and ensures report gets to the appropriate person
Monitors the incoming FAX transmittals and distributes to the appropriate Dentist
Responds to dentist’s requests for appropriate reports in a timely manner
Assists with scheduling 'in-house' referrals and procedures as well as other referrals as directed
Makes appointment(s) for required procedures and consultations with specialists per dentist orders and treatment records, and directs patient accordingly
Collects and enters patient payments [advance payments and payments on account (POA)] into the patient accounting system on a daily basis
Notifies Facilities Manager, Office Manager, Dentist, Chief Operating Officer (COO), Chief Executive Officer (CEO) and/or management of presence of suspicious activity observed in or around Center property
Qualification
Required
A minimum of high school diploma or equivalent
Preferably two (2) years experience in medical or dental office, telephone switchboard operator or equivalent
Ability to speak and communicate effectively with co-workers, patients and the public
Pleasant personality, pleasing, professional appearance and disposition
Must be punctual and extremely reliable
Ability to understand and follow in detail both verbal and written instructions
Exercises discretion and sound judgment when dealing with patients, visitors and co-workers
