Payroll Adminstrator

The International Violin Competition of Indianapolis is dedicated to educating, inspiring, and empowering individuals in a supportive environment. The Payroll Administrator will be responsible for preparing and submitting payroll for all US and Canadian employees, managing benefits administration, and ensuring compliance with payroll regulations.

Responsibilities

Prepare, review and submit payroll based on a bi-weekly schedule for all US and Canadian employees (salaried and hourly); ensuring accuracy, timeliness of all changes, and in compliance with external regulations
Handle benefits administration, enrollments, midyear changes, audits, open enrollment, day-to-day benefits inquiries, claims resolution, terminations, beneficiaries processing, disability, accident and death claims, LOA and worker's compensation program
Input and process 401(k) initial enrollment, deferral changes and loans, creating and downloading reports as necessary to audit transactions
Manage and review non-exempt employees’ time cards and gather appropriate approvals
Serve as the primary point of contact for all payroll related inquiries and requests
Investigate and resolve discrepancies in payroll
Set up new payroll states and localities as needed; ensure required tax filings are completed appropriately
Set up payroll calculations, deductions, insurance coverage, wage garnishments, tax filings, child support, ... etc
Prepare employee wage summaries of earnings, taxes, deductions, leaves, retirement savings and benefits, as needed
Train facility business office managers, and leaders on payroll/timekeeping and approval procedures
Train new employees on payroll/timekeeping procedures
Oversee benefit enrollment, preform monthly bill reconciliation, assistant with annual enrollment,etc
Ensures compliance with federal, state, and local payroll, wage, and hour laws and best practices
Lead quarterly and annual audits by providing records and documentation to auditors for workers compensation, 401K, 1095-C, 941, forms 5500 and all other payroll related audits
Advises and informs employees of changes and developments related to benefits including eligibility, coverage, and provisions
Interacts and coordinates with benefits broker on all benefits related activities
Receive and process payroll change information from the Human Resource Operations team to maintain employee payroll records up-to-date and accurate
Work with HR team to ensure the accuracy of employee benefit deductions
Work with payroll provider to ensure timely filing of quarterly and annual reports
Audit information for completeness and take appropriate action where needed
Accurately compute retroactive pay, partial pay, and overpayments based on input data
Assist the Finance team with month-end close processes; including but not limited to, monthly payroll and benefits provider invoice reconciliations
Work with the finance team to provide audit support and special projects
Manage the company’s COBRA administration program
Assist and coordinate annual Section 125 testing and prepare forms 5500
Perform any additional responsibilities as requested or assigned
