Responsibilities

Order Parts: Act as purchasing agent for the Public Transportation Department by procuring necessary parts, equipment, fuel, and fluids for Fleet Maintenance. Research vendors and order parts. These include engines, transmissions, wheelchair lift components, A/C systems, bus and vehicle systems and electrical components. Adhere to purchasing requirements by receiving a minimum of three quotes for purchases by selecting the lowest or best-cost vendor. Evaluate supplier quotes, references, and services to determine most desirable suppliers. Document all purchases and maintain required records for annual audits. Determine whether all purchases are fair and reasonable prior to purchase award. Deliver invoices for payment, monitor invoice statements for payment to ensure all accounts remain in good standing, and track the delivery of orders to ensure receipt of parts. Create PO for ordered part and track PO for accurate delivery. Enter parts into PO system in maintenance software. Code bills/invoices when parts arrive. Secure parts that are needed immediately to lessen vehicle downtime. Work with vendors to have parts and supplies delivered in a timely manner. Comply with City purchasing regulations. Receive deliveries; verify invoices for price, quantity, and condition of ordered items; monitor backordered supplies, damaged parts, and parts on warranty for like-item replacement. Record deliveries into the maintenance software inventory control system
Maintain Parts Inventory: Receive all part deliveries and other orders. Barcode all required items and place in appropriate storage location. Ensure all parts have been properly charged out to maintenance work orders. Inventory parts on a monthly basis to ensure electronic records are accurate. Manage inventory parts exchange which includes returns for defective parts, warranty parts, and core returns. Run reports to determine parts deficiencies and order as necessary. Provide necessary monthly inventory reports to the City’s Office of Management and Budget (OMB) Department. Ensure Federal Transit Administration (FTA) inventory requirements are met
Maintain Fuel Inventory: Verify daily fuel data into maintenance software system. Verify data entered by employees at fuel pumps, create end of month reports for OMB and Fleet Manager. Track fuel use for errors for high/low usage. Order and track fuel. Process and ship oil samples for analysis; prepare information sheet to accompany each sample. Analyze the fuel reports for improper entry/dispensing or theft of fuel
Provide Clerical Support: Create and verify work orders for technicians as needed. Order parts and communicate with technicians on work to be done on work order. Answer phones and provide gate opening support. Copy/fax for technicians when needed. Complete warranty work orders in maintenance software system and maintain tracking throughout warranty returns. Verify all by opening repair work orders; perform computer data entry of installed parts, labor hours spent, mileage, and other information to close out work orders in the computer control system. Post vehicle maintenance schedule. Prepare and maintain statistical report for monthly usage of fuel, mileage, oil, tire location, inventory, parts inventory balances, etc. Transport mechanics for pick-up or delivery of damaged or repaired vehicles

Required

High school diploma or equivalent
Under and including one (1) year of experience in inventory control, accounting, automotive parts, computer, and receiving or related experience
Valid South Carolina Class D Driver's License
Knowledge of standard automotive and heavy truck parts and accessories
Knowledge of proper use of electronic parts manuals and supply catalogs
Knowledge of methods for organizing and storing automotive and equipment parts
Knowledge of inventory control methods and procedures
Knowledge of safe materials and parts handling practices
Knowledge of invoicing and account payables
Ability to maintain sufficient inventory levels at all times
Ability to forecast and identify future supply needs
Ability to update and ensure data integrity of inventory systems
Ability to read papers, periodicals, journals, manuals, and policies
Ability to make mathematical calculations and draw logical conclusions; work with fractions, percentages, ratios/proportions and measurements
Ability to write reports, prepare business letters, summaries, meeting minutes, and compose emails in a clear and professional manner
Ability to use veeder root, calculator etc
Ability to operate general office equipment to include scanner, printer, copier, telephone, and computer with Microsoft Office Suite
Ability to utilize specialized software and systems to include inventory control system and fleet maintenance software system
